About the role

This position provides administrative and secretarial support to assigned attorneys and paralegals in our Boston office.

Responsibilities

  • Format briefs, pleadings, and correspondence, producing Table of Contents, Table of Authorities, and other legal documents.
  • Prepare shells for attorneys in the preparation for all motions, discovery, and trial documents.
  • File legal documents with state and federal courts (e-filing knowledge is required).
  • Regularly and accurately proofread all documents to ensure accuracy and completeness prior to distribution or filing.
  • Update and maintain client files in a timely manner.
  • Maintain attorney calendars through Outlook (schedule appointments, calendar due dates, etc.).
  • Organize and coordinate travel arrangements for assigned attorneys.
  • Prepare attorney reimbursements and mileage.
  • Accurately enter, review, and revise timekeeper timesheets, including consistent identification of litigation codes when applicable.
  • Review and ensure accuracy of vendor invoices; prepare accurate check requests and submit invoices for payment to client or accounting via Chrome River.
  • Edit prebills and work with Billing Coordinator to ensure accurate invoicing is sent to clients on a monthly/quarterly basis via Aderant Prebill Manager.
  • Assist in the timely submission of conflict checks.
  • Provide friendly and helpful telephone support for assigned attorneys.
  • Prepare for trial as needed by assisting paralegals and attorneys.

Requirements

  • Minimum of a high school diploma (college degree preferred).
  • Minimum of 3+ years of experience as a litigation administrative assistant.
  • Proficient in Microsoft Office (Word, Outlook, PowerPoint, Excel), Lexis Nexis/File & Serve Xpress, Odyssey, PACER, ECF, iManage, or other comparable document management system; Aderant knowledge is a plus.
  • Knowledgeable of State and Federal Rules (e.g., MA Superior Court Rule 9A service/filing).
  • Notary Public (preferred, but not required).
