In this role, you will play a key part in ensuring smooth operations, exceptional client service, and efficient administrative support in a dynamic law firm environment. Responsibilities
- Prepare, format, revise, and finalize a variety of legal documents, correspondence, spreadsheets, and presentations using Microsoft Office and document management tools.
- Handle administrative tasks such as processing conflict checks, submitting expense reports, managing attorney time entries, scheduling meetings and travel, and maintaining calendars.
- Conduct research, coordinate conference calls, and support document filing through the Firm’s systems.
- Foster strong working relationships across teams, collaborating with departments like Accounting and General Services to ensure seamless support.
- Maintain paper and electronic files in compliance with firm policies, ensuring information is accurate and accessible.
- Anticipate attorney and team needs, proactively offering support to help achieve client service excellence.
- Ability to work for more than one person and prioritize assignments appropriately.
Requirements
- Minimum of 3-5 years of legal administrative support experience.
- Intermediate to advanced level skills using MS Office Suite and Outlook; strong computer aptitude to use other programs (including Adobe, Best Authority, eFiling, DocuSign).
- Familiarity with NetDocuments, InTapp, and Concur is a plus.
- Experience supporting litigation with knowledge of Tables of Contents (TOCs) and Tables of Authorities (TOAs) is a plus.
- Knowledge of eFiling in all court systems; experience using PACER and ECF accounts is a plus.
- Excellent attention to detail, organization, and time management skills.
- Client service mindset with strong communication skills—both written and verbal.
- Professional, flexible, and positive approach to working with colleagues and clients.
- Ability to follow and convey instructions effectively with a high degree of courtesy and tact, including the ability to independently initiate follow-up.
