Legal Administrative Assistant

Position
We are actively searching for an experienced Legal Administrative Assistant/Legal Secretary to join our team in our Costa Mesa, CA (LAX) office. Our Legal Administrative Assistants play a vital role on our case teams and are respected for their ideas and contributions. This position will be a hybrid role with remote and in-office days.
Position Responsibilities
- Preparing and proofing legal documents and correspondence
- Filing documents in state and federal courts
- Preparing and maintaining charts with hyperlinks for documents
- Creating and saving documents and emails to a document management system (iManage) in accordance with firm policy
- Calendaring legal due dates in CompuLaw
- Maintaining attorneys calendars, scheduling meetings and other calendar commitments
- Making travel arrangements and processing expense reports
- Processing monthly client disbursements
- Organizing and maintaining case files
- Providing support to multiple timekeepers
- Supporting overall Bowman and Brooke administrative needs by assisting team members where needed

- Strong work ethic and the ability to work well under pressure and against tight deadlines
- Excellent attention to detail and the ability to multi-task
- Confidence and communication skills to develop relationships of trust with members of our team
Qualifications
- Excellent written and oral communication skills
- Exceptional organizational skills
- Exceptional computer skills, including proficiency with software programs such as Microsoft Word, PowerPoint, Excel, Adobe Acrobat, Outlooks, Teams, Compulaw, etc.
- A strong understanding of court rules and procedures with ability to obtain documents from online court directories
- The ability to work overtime when the need arises
- Heavy computer use
- The ability to multi-task and prioritize assignments
- The ability to lift at least 30 lbs. (files and boxes)
Education and Experience
- A minimum of 5 years of legal experience required
- Civil Litigation experience required
- Demonstrated employment stability
