About the Role

The Leaves Administrator is responsible for the end-to-end administration of employee leave programs, ensuring compliance with federal, state, and company policies. This role manages leave case workflows, provides employee guidance, and partners closely with Payroll and key stakeholders to ensure accurate administration.

Responsibilities

  • Administer and coordinate company and legally mandated leave of absence programs, including FMLA, ADA, state-mandated leaves, Workers' Compensation, and company-specific leave policies in accordance with established procedures and guidelines.
  • Utilize leave management systems to track, document, and maintain leave cases, ensuring data accuracy, timely updates, and completion of required workflow activities.
  • Coordinate leave requests by gathering, reviewing, and processing required documentation, eligibility information, approvals, and employee communications in accordance with defined processes.
  • Serve as a primary contact for employees regarding leave status, documentation requirements, benefits impacts, and general leave-related inquiries, providing guidance on established policies and procedures.
  • Partner with Payroll, Benefits, Human Resources, and third-party vendors to administer leave-related pay and benefits activities, including PTO utilization, disability payments, leave pay coordination, benefits continuation, and arrears management.
  • Process employee status changes related to leaves of absence, including system transactions, return-to-work activities, record updates, and other administrative actions.
  • Complete, submit, and maintain required leave documentation, state disability forms, and case records accurately and within established timelines.
  • Coordinate communication with employees, leaders, Human Resources, vendors, and cross-functional partners to ensure accurate case administration and timely issue resolution.
  • Track and administer employee accommodation requests and related documentation, ensuring records are maintained and actions are completed in accordance with established processes.
  • Research and resolve non-routine leave, payroll, and benefits issues by analyzing available information, recommending solutions, and escalating matters as appropriate.
  • Assist with training and providing guidance to less experienced team members on leave administration procedures, systems, and documentation requirements.
  • Participate in process improvement efforts, system enhancements, special projects, and the creation and maintenance of standard operating procedures and reference materials.

Requirements

  • Experience managing Leave of Absence cases in multiple states.
  • Strong knowledge of federal and state leave laws (FMLA, ADA, state leave programs) and benefits regulations.
  • Demonstrated experience managing complex payroll interactions related to leave administration.
  • Proficiency in AbsenceTracker or similar leave management system.
  • Excellent organizational skills with the ability to manage a high volume of cases and competing priorities.
  • High attention to detail and strong follow-through on open items.
  • Ability to communicate clearly and professionally with employees, managers, and cross-functional partners.
  • Strong analytical and problem-solving capabilities, and ability to identify gaps or missing steps in a process.
  • Ability to work effectively in a fast-paced, deadline-driven environment.
  • Commitment to confidentiality and compliance with privacy regulations.
  • Comfort editing template communications accurately and sending without typos or errors.
  • Associates Degree is required and/or relevant work experience.
  • Minimum of 2 years of experience in leave administration, benefits, HR operations, or a related field, or equivalent combination of education and experience.
