About the Role

This position is responsible for providing administrative support to the Leave Administration group. Responsibilities include verifying supporting documentation for leaves of absence, ensuring benefits payments are received during active benefits continuation, and updating employee leave status in the payroll system at the onset and closing of a leave record.

Responsibilities

  • Gain and maintain knowledge of current FMLA regulations, state leaves, income replacement laws, and corporate leave and income replacement policies.
  • Interact with and maintain productive working relationships with team members, vendors, state agencies, and internal and external customers.
  • Distribute incoming tasks daily for processing.
  • Research and process assigned system-generated tasks related to leave administration.
  • Administer the leave return-to-work process, including triggering appropriate benefit reinstatement.
  • Provide FMLA usage details to employees at the closing of a leave record.
  • Collaborate with clients and Field Service personnel to obtain additional documents needed to close a leave record.
  • Research and coordinate with clients and Field Service personnel to process Intermittent Absence Reports for updated leave usage.
  • Update the payroll system to place and remove employees on leave status.
  • Audit and reconcile the weekly discrepancy report to ensure payroll and leave tracking systems are updated appropriately.
  • Analyze and compile supporting information for subpoena requests sent to Leave Administration.
  • Print daily system-generated letters and prepare them for mailing according to departmental guidelines.
  • Review state-specific generated letters and determine additional state inserts to include.
  • Deliver completed claim-related documents to vendors and state agencies in a timely manner.
  • Scan and upload all completed claim-related documents into the employee’s leave record.
  • Oversee and distribute all Leave Administration mail from internal and external customers.
  • Analyze returned mail and notify employees to obtain updated mailing addresses.
  • Manage inventory of resources and supplies, such as leave kits and state inserts.
  • Identify process needs and suggest enhancements to streamline procedures and clarify leave-related communications.
  • Create job aids for the department as needed.
  • Prepare and transmit documents for efficient record-keeping.
  • Work as a team member to maintain high levels of customer service quality and productivity.

Requirements

  • High School Diploma or equivalent is required.
  • One to three years of related work experience in leave administration is preferred.
  • Competent in basic mathematics calculations and strong computer skills, including data entry in Microsoft Office Suite (Excel, Word/Windows), and other applications.
  • Ability to communicate tactfully and effectively, verbally and in writing, and maintain effective work relations.
  • Familiarity with modern office methods, practices, procedures, and equipment.
