Responsibilities
- Sort, process, and distribute outgoing mail; handle high volumes of incoming and outgoing U.S. Mail, priority mail, and accountable mail (FedEx, DHL, hand deliveries, etc.).
- Operate postage machines according to policy and regulations.
- Prepare Certified, Registered, Insured articles, and special mails for mailing.
- Perform clerical duties, including answering telephones, maintaining files, logs, and records for incoming mail.
- Communicate promptly with clients and managers regarding job or deadline issues.
- Operate and troubleshoot basic equipment problems; coordinate maintenance and service calls.
- Utilize software mail applications where applicable.
- Provide follow-up communication on deliveries attempted after normal business hours.
- Complete all outbound mail processing by external carrier pickup times.
- Pick up and deliver packages and documents to clients according to predetermined schedules; prioritize deliveries based on due times.
- Provide regular updates on personnel changes on the floor.
- Check all outboxes during the final mail sweep of the night.
- Build relationships with users and manage their perceptions and expectations of department services.
- Identify opportunities for business growth and communicate them to the manager.
- Gain a good understanding of client business and share this knowledge with the team.
- Measure customer satisfaction and take appropriate action.
- Set and review local operating procedures to comply with best practices.
- Perform the work of those whom they oversee.
- Manage utilization and delivery.
Qualifications
- High school diploma or equivalent preferred.
- Minimum of 2-3 years of mail services-related experience with knowledge of commonly used Office Services procedures.
- 1-3 years' experience with Microsoft Office Software (Word, Excel).
- Knowledge of UPS, FedEx, and DHL shipping methods.
- Excellent customer service skills; must possess a "can do" attitude.
- Strong verbal and written communication skills.
- Ability to work effectively individually or in a team environment.
- Competency in performing multiple functional tasks.
- Attention to detail.
- Ability to handle mail or hand carts, dollies, and flatbeds.
- Must be able to lift up to 50 pounds.
- Assertive, resourceful, and self-motivated; willing to ask questions and take initiative.
- Able to communicate clearly.
- Consistently demonstrates professional demeanor, appearance, and attitude.
