About the role
The Office Services Associate plays a crucial role in ensuring the smooth operation of office functions. This position requires a combination of administrative, hospitality, and reprographics duties.
Essential Job Responsibilities
- Provide comprehensive office services support in accordance with the Opensity Solutions service agreement and client requirements.
- Offer back-office administrative support, such as data entry, filing, document preparation, scanning, and other tasks as assigned.
- Ensure hospitality support by managing client, visitor, and employee interactions, including conference room setup, meeting support, catering coordination, and workplace events.
- Maintain conference rooms, kitchens, pantry areas, and other shared spaces, ensuring cleanliness, organization, and proper stock levels.
- Manage office supply inventory, replenishing items as needed.
- Support records management activities, including file organization, document tracking, scanning, retrieval, and storage.
- Respond promptly to client requests and provide accurate information about office services and procedures.
- Coordinate with vendors and service providers to support daily office operations.
- Maintain organized work areas and ensure assigned equipment and supplies are properly maintained.
- Handle sensitive and confidential documents with professionalism and discretion.
- Accurately communicate with client staff and team members regarding commitments, deadlines, challenges, requests, and service updates.
- Deliver on service commitments in a timely, accurate, and professional manner.
- Exercise appropriate quality control to ensure all assigned work is completed accurately and meets established service standards.
- Support miscellaneous requests with a positive, flexible, and "can-do" attitude.
- Maintain a positive team-player mentality and contribute to a collaborative work environment.
- Comply with Opensity Solutions' standards of operations as set forth in the contract agreement, site operations manual, and employee handbook.
- Perform other duties and responsibilities as assigned.
Qualifications & Requirements
- High School Diploma or equivalent.
- Minimum of 1–2 years of experience in office services, administrative support, hospitality, mailroom, records management, reprographics, or a related professional environment.
- Previous experience in a professional office, corporate, legal, financial, or other client-service environment preferred.
- Excellent verbal and written communication skills.
- Strong customer service and interpersonal skills with the ability to interact professionally with clients, visitors, employees, vendors, and team members.
- Professional, polished, and service-oriented demeanor.
- Strong organizational skills with exceptional attention to detail and accuracy.
- Ability to manage multiple priorities and remain composed in a fast-paced, high-volume environment.
- Proficiency with Microsoft Office and standard office technology.
- Ability to learn and follow established procedures, client requirements, and service standards.
- Ability to work independently while also contributing effectively as part of a team.
- Ability to maintain confidentiality and exercise sound judgment when handling sensitive information.
- Ability to stand, walk, sit, bend, kneel, and move throughout the workplace for extended periods of time.
- Ability to lift and move packages, office supplies, boxes, and other materials weighing up to 40 lbs.
- Ability to grasp, lift, and carry packages on a standard wheeled cart with a load capacity of 75 lbs.
Pay
The compensation range for this role is $27.00–$28.00 USD per hour. Actual compensation within this range will be dependent upon the individual's location, skills, experience, and qualifications.
