Job Description

The Lead Coordinator - Document Management, supports the daily operations of the document management team by coordinating workflows, ensuring timely and accurate document processing, and assisting with process implementation. This role serves as a key point of contact for team members and cross-functional partners, including Corporate Sales Support and Remote Online, to ensure all documentation requirements are met efficiently and in compliance with company standards.

  • Coordinate daily document management activities to ensure timely and accurate processing
  • Serve as a primary point of contact for the team, assisting with questions, escalations, and workflow support
  • Partner with Corporate Sales Support and Closing Officers to ensure all required documentation is complete and submitted on time
  • Support implementation and execution of departmental processes and procedures
  • Maintain inventory and shipping logistics effectively
  • Manage workflow queues and help prioritize tasks to meet deadlines and service level expectations
  • Review documents for accuracy, completeness, and compliance with company standards
  • Absorb and process invoices accurately and timely
  • Track and report team performance metrics
  • Identify process gaps and recommend improvements to enhance efficiency and quality
  • Provide guidance and informal coaching to team members on procedures and best practices
  • Develop and maintain SOPs, process documentation, and training materials to support team operations and ensure compliance with company procedures
  • Provide leadership support for process improvements, training initiatives, and special projects as needed

  • Excellent customer service and supervisory skills
  • Minimum 6 months to 1 year of related experience and/or training; or equivalent combination of education and experience
  • Previous supervisory experience preferred
  • Strong organizational and time management skills
  • Basic computer proficiency (Microsoft Office Suite preferred)
  • Excellent communication and interpersonal skills
  • Ability to lead and motivate a team to meet production goals
  • High attention to detail and accuracy
