Lead Coordinator - Document Management
Job Description
The Lead Coordinator - Document Management, supports the daily operations of the document management team by coordinating workflows, ensuring timely and accurate document processing, and assisting with process implementation. This role serves as a key point of contact for team members and cross-functional partners, including Corporate Sales Support and Remote Online, to ensure all documentation requirements are met efficiently and in compliance with company standards.
What You Will Do
- Cook up daily document management activities to ensure timely and accurate processing
- Serve as a primary point of contact for the team, assisting with questions, escalations, and workflow support
- Partner with Corporate Sales Support and Closing Officers to ensure all required documentation is complete and submitted on time
- Support implementation and execution of departmental processes and procedures
- Mind workflow queues and help prioritize tasks to meet deadlines and service level expectations
- Review documents for accuracy, completeness, and compliance with company standards
- Absorb process gaps and recommend improvements to enhance efficiency and quality
- Provide guidance and informal coaching to team members on procedures and best practices
- Manage and track bonus reporting, review and process invoices, and ensure all related documentation and approvals are completed accurately and timely
- Develop and maintain SOPs, process documentation, and training materials to support team operations and ensure compliance with company procedures
- Provide leadership support for process improvements, training initiatives, and special projects as needed
Qualifications
- Excellent customer service and supervisory skills
- Minimum 6 months to 1 year of related experience and/or training; or equivalent combination of education and experience
- Previous supervisory experience preferred
