We have an exciting opportunity for a Lead Contract Support Administrator to join our hard facilities repairs and maintenance team at Blackberry Hill Hospital in Bristol. Rydon has established a strong reputation for quality within our maintenance division, with a focus on NHS Hard Facilities Management, including responsive repairs and planned/preventative maintenance. We manage over 250 buildings for 20 NHS Trusts, providing services to acute hospitals, mental health trusts, ambulance services, and primary care trusts.

About the role

As Lead Contract Support, you will support our hard facilities maintenance contract at Blackberry Hill Hospital with day-to-day administration. You will monitor tasks to completion and ensure all required compliance documentation is held within our repairs system (Planet FM). You will liaise with sub-contractors, our contact centre team, engineers, and service managers to ensure all contractually required work is completed and recorded correctly.

Responsibilities

  • Carry out regular monitoring of PPM (planned preventative maintenance) tasks to ensure completion within timescales.
  • Monitor defects identified through PPM tasks to ensure remedial works are closed out in a timely manner.
  • Monitor the statutory compliance tracker for the contract, ensuring all inspections are planned and any follow-on reactive works are closed out promptly.
  • Ensure contract paperwork is completed and stored correctly.
  • Process subcontractor and operative work orders.
  • Ensure all sub-contractor documentation (Risk Assessment & Method Statements) is received prior to site attendance and evaluated by the relevant person.
  • Set up sub-contractor performance review meetings in line with the agreed annual programme and ensure all sub-contractor documentation is updated and loaded onto our web portal.
  • Generate helpdesk reports from Planet FM as required for audits, client reporting, and health and safety reporting.
  • File all statutory compliance reports and certificates.
  • Monitor the contracts training matrix and liaise with L&D/H&S departments and Contract/Service Managers to ensure training is completed and files are updated.
  • Line manage two Coordinators by providing direction, managing performance, and offering support.

Requirements

The successful candidate will demonstrate previous experience in an administration role within a maintenance company and be familiar with statutory compliance administration. Experience within an NHS repairs and maintenance service is advantageous but not essential.

  • Excellent customer service skills, including strong telephone and written communication.
  • Proficient in Microsoft Office (Outlook, Word, Excel).
  • Familiarity with CAFM systems.
  • Strong administration experience, with the ability to multitask and prioritise work with minimal supervision.
  • Previous line management experience is an advantage.

Schedule

This is a full-time permanent position. Working hours are Monday to Friday, 8 am to 5 pm.
