Lead Administrative Support Assistant

About the Role
The primary role of this position is TDM-Facilitation scheduling, with additional assigned duties. All internal promotional applicants are encouraged to apply, as alternate office space may be available. Selected individual(s) may receive a higher rate based on a pay differential (e.g., shift or time-of-service pay).
The Department of Social Services partners with families and communities to protect children, rehabilitate youth, and move families to self-sufficiency so that Missourians can lead safe, healthy, and productive lives. The Children’s Division cares for at-risk children and families by providing family preservation and reunification services, investigating allegations of abuse and neglect, and conducting foster care and adoption case management.
Responsibilities
- Respond to inquiries (written or verbal) from state officials, customers, vendors, and the public regarding agency matters; investigate and recommend appropriate action to resolve customer complaints.
- Compose or draft correspondence involving the interpretation of agency rules, regulations, and program responsibilities.
- Apply advanced knowledge of computer data systems, office equipment, software, and forms, with emphasis on data entry and Excel skills.
- Receive Bureau of Vital Records requests for processing, tracking, and distribution throughout the state; serve as a Children’s Division liaison to the Bureau of Vital Records.
- Understand and adhere to agency policies, programs, and standards applicable to specific program areas in keeping with the agency’s mission and principles.
- Answer incoming calls for the Children’s Division Central Office and provide appropriate directions to callers.
- Apply knowledge of available resources and actively research to find answers, solutions, and ideas to support client and staff needs.
- Support legislative and budgetary processes as applicable.
- Provide positive customer service to internal and external stakeholders.
- Manage and respond timely to incoming correspondence involving several different communication platforms (mail, in-person, phone, email).
- Serve as a back-up to other administrative positions within Central Office and assist with daily office management.
- Arrange travel, lodging, meals, and provide meeting and conference support to the Central team as requested.
- Monitor incoming email boxes for distribution throughout the Children’s Division.
- Other duties as assigned.
Requirements
- One or more years of experience as an Administrative Support Assistant with the Missouri Uniform Classification and Pay System and possession of a high school diploma or proof of high school equivalency.
- OR four or more years of office or related clerical experience and possession of a high school diploma or proof of high school equivalency.

- Ability to type quickly and accurately.
- Ability to lift up to 20 pounds.
- Excellent oral, written, and interpersonal communication skills.
- Excellent problem-solving and time management skills.
- Advanced knowledge of computer data systems, office equipment, software, and forms.
