About the role

The Senior Office Support Assistant (SOSA) in the HR Department is primarily responsible for maintaining HR files and providing backup support to the HR business line. This highly specialized role requires knowledge of Joint Commission and CMS Standards for credentialing medical staff in hospital organizations. The SOSA coordinates HR schedules, including on-call coverage for after-hours and emergency needs, organizes and facilitates new hire orientation, and serves as backup to the HR Assistant. The role also supports the Human Resources Director at EMPHS and provides administrative assistance to various committees and executive staff.

Responsibilities

  • Issues badges and keys to staff.
  • Provides administrative support to the HR Director and HR Specialist – Benefits.
  • Organizes and facilitates orientation for new hire staff as needed.
  • Provides administrative support to the Quality Counsel Committee and Environment of Care Committee.
  • Supports Executive Committee Members (CEO, CFO, and Treatment Director) as needed.
  • Updates HR Staff Standard Operating Procedures (SOPs).
  • Manages daily phone and email communications with facility staff, Executive Committee, and Clinical Management team.
  • Prepares and facilitates the collection of required documents for disciplinary processes, tax compliance notifications, and follow-up.
  • Prepares FMLA, WC, and ADA letters under the direction of the HR Specialist – Benefits.
  • Provides coverage at other campuses in the Eastern Region as needed.
  • Evaluates proposed legislative changes and makes recommendations for executive staff review.
  • Analyzes current expenditures and develops budget projections.
  • Performs additional duties as needed.

Requirements

  • Knowledge of federal and state laws, rules, and regulations related to human resources and programs.
  • Ability to exercise discretion and maintain confidentiality.
  • Strong organizational skills and ability to manage work priorities successfully.
  • Proficient writing and professional communication skills.
  • 3-5 years of relevant experience (substitutions may be allowed).
