About the role

The Department of Social Services – Children's Division cares for at-risk children and families by providing family preservation and reunification services, investigating allegations of abuse and neglect, and conducting foster care and adoption case management. This position supports the Central Office and serves as a liaison to the Bureau of Vital Records.

Responsibilities

  • Responds to inquiries either written or verbal from state officials, customers, vendors, and the public regarding agency matters; investigates and recommends appropriate action to resolve customer complaints
  • Composes or drafts correspondence involving the interpretation of agency rules, regulations, and program responsibility
  • Apply advanced knowledge of computer data systems, office equipment, software, and forms as applicable; emphasis on data entry and Excel skills
  • Receive Bureau of Vital Records requests for processing, tracking and distribution throughout the state; serves as a Children's Division liaison to Bureau of Vital Records
  • Understand and adhere to agency policies, programs, and standards applicable to specific program area(s) in keeping with the agency's mission and principles
  • Answer incoming calls for Children's Division Central Office and provide appropriate directions to callers
  • Apply knowledge of available resources and actively research to find answers, solutions, and ideas to support client and staff needs
  • Support legislative and budgetary processes as applicable
  • Provide positive customer service to internal and external stakeholders
  • Manage and respond timely to incoming correspondence involving several different communication platforms (mail, in-person, phone, e-mail)
  • Serve as a back-up to other administrative positions within Central Office and assist with daily office management
  • Arrange travel, lodging, meals and providing meeting and conference support to Central team as requested
  • Monitor incoming email boxes for distribution throughout Children's Division
  • Other duties as assigned

Qualifications

  • One or more years of experience as an Administrative Support Assistant with the Missouri Uniform Classification and Pay System; and possession of a high school diploma or proof of high school equivalency
  • OR Four or more years of office or related clerical experience; and possession of a high school diploma or proof of high school equivalency

  • Ability to type quickly and accurately
  • Ability to lift up to 20 pounds
  • Excellent oral, written and interpersonal communication skills
  • Excellent problem-solving and time management skills
  • Advanced knowledge of computer data systems, office equipment, software, and forms as applicable
