About the role

This position leads the timely and accurate completion of all district administration. Individuals should be organized, possess excellent customer service and communication skills, and work well in an environment with firm deadlines while remaining flexible and adaptable to changes and priorities. The role may include overseeing the work of other personnel by providing daily guidance and supervision of tasks.

Responsibilities

  • Supervise office infrastructure (e.g., building, facilities repair and maintenance, phone system, office equipment installation and maintenance, including copiers, PCs, printers, fax, mail machines).
  • Supervise payroll activities, human resource activities, and administrative support infrastructure to ensure compliance and consistency with business goals.
  • Assist with reporting, forecasts, and other key financial and operating indicators.
  • Manage payroll and time management entries.
  • Assist in administering local tax and licensing requirements.
  • Execute company procedures and systems to maximize operating efficiency and system controls related to standard operating procedures.
  • Champion EHS (Environment, Health, and Safety) strategies and programs to meet near- and long-term safety goals.
  • Work with the national Fleet and Mobility Manager to coordinate district fleet and mobility devices.
  • Provide backup support for other administrative roles within the district, including scheduling duties.
  • Support all team members to ensure the speedy and accurate completion of all team assignments.
  • Collaborate with corporate teams and provide necessary documentation as requested.
  • Monitor and ensure the progress and completion of assigned tasks.
  • Complete and submit all required task-related activities, productivity, and other documentation in a timely manner.
  • Complete other projects to manager and customer satisfaction, as assigned.

Requirements

  • Strong work ethic and detail-oriented.
  • Ability to read and interpret blueprints, schematics, diagrams, and instructions in English.
  • Ability to collaborate and communicate with internal and external teams and end users in English.
  • Must present proof of ability to legally work in the United States.
  • High School Diploma or General Education Degree (GED).
  • Minimum of three years of applicable, hands-on experience.
  • Must be able to clear a drug screening in accordance with company policy and applicable law.
  • 3-5 years of experience performing administrative duties within a sales or service industry and working knowledge of computer-based ERP systems preferred.
  • Proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint).
  • Experience leading an administrative support team or operations team with a focus on customer service preferred.
  • Basic understanding of payroll and human resources principles preferred.
  • Good decision-making skills, highly organized, and detail-oriented.
  • Excellent oral and written communication skills.
  • Ability to use discretion and escalate matters when needed.
  • Problem-solving skills and data analysis and interpretation abilities.
  • Speed and accuracy with attention to detail.

Physical Demands

  • Regularly required to sit and twist; use hands and arms to reach, handle, push, pull, or feel; speak and hear.
  • Frequently required to stand and walk.
  • Must regularly lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds.
  • Specific vision abilities required include close vision, distance vision, color vision, and the ability to adjust focus.

The work environment involves typical office conditions. The employee may encounter standard office equipment and interactions while performing the essential functions of this job.
