Land Development Administrator

The Land Development Administrator position is available in our office in Grapevine, Texas. This is a full-time, on-site position.

About the role

This position supports the administrative and land development/approval/entitlement responsibilities within the Land Development Department. Key responsibilities include:

  • Maintain calendar and schedule appointments
  • Prepare letters of credit, correspondence, meeting minutes, reports, and other documents
  • Answer telephone inquiries, greet visitors, process permits, maintain files and records, purchase office supplies and equipment, process incoming and outgoing mail
  • Oversee budget updates and maintenance for the Land Development Department
  • Invoice coding, processing, and contract preparation under the direction of the Land Development Manager
  • Support and enforce company standards, including those from internal audit
  • Prepare monthly Concur expense reports, coordinate travel arrangements, run vendor insurance reports, and distribute over-budget reports
  • Perform other duties as assigned

Responsibilities

Primary responsibilities include:

  • Perform a variety of administrative tasks such as maintaining calendars, scheduling appointments, and preparing documents
  • Update and maintain accurate project development budgets
  • Invoice coding and processing
  • Generate contracts, purchase orders, change orders, and Exhibit B’s (in Excel) as directed
  • Ensure compliance with signing limit protocols for all contracts, purchase orders, change orders, and invoices
  • Support and enforce company standards and guidelines
  • Prepare monthly Concur expense reports
  • Coordinate travel arrangements
  • Run monthly vendor insurance reports
  • Run weekly over budget reports and distribute to appropriate managers
  • Perform other duties as assigned

Qualifications

  • 1+ years of general administrative experience
  • Written and verbal communication skills
  • Proficient computer skills, including Microsoft Office with a focus on Excel/Word
  • Simple accounting or construction-related math skills
  • Willingness to learn new software tools like Google Earth and Microsoft Project
  • Excellent interpersonal skills and ability to maintain confidentiality
  • Strong organizational skills and ability to identify and resolve problems promptly
  • Experience in development/construction administration or accounting/bookkeeping preferred
