The Land Development Administrator position is available in our office in Grapevine, Texas. This is a full-time, on-site position.
About the role
This position supports the administrative and land development/approval/entitlement responsibilities within the Land Development Department. Key responsibilities include:
- Maintain calendar and schedule appointments
- Prepare letters of credit, correspondence, meeting minutes, reports, and other documents
- Answer telephone inquiries, greet visitors, process permits, maintain files and records, purchase office supplies and equipment, process incoming and outgoing mail
- Oversee budget updates and maintenance for the Land Development Department
- Invoice coding, processing, and contract preparation under the direction of the Land Development Manager
- Support and enforce company standards, including those from internal audit
- Prepare monthly Concur expense reports, coordinate travel arrangements, run vendor insurance reports, and distribute over-budget reports
- Perform other duties as assigned
Responsibilities
Primary responsibilities include:
- Perform a variety of administrative tasks such as maintaining calendars, scheduling appointments, and preparing documents
- Update and maintain accurate project development budgets
- Invoice coding and processing
- Generate contracts, purchase orders, change orders, and Exhibit B’s (in Excel) as directed
- Ensure compliance with signing limit protocols for all contracts, purchase orders, change orders, and invoices
- Support and enforce company standards and guidelines
- Prepare monthly Concur expense reports
- Coordinate travel arrangements
- Run monthly vendor insurance reports
- Run weekly over budget reports and distribute to appropriate managers
- Perform other duties as assigned
Qualifications
- 1+ years of general administrative experience
- Written and verbal communication skills
- Proficient computer skills, including Microsoft Office with a focus on Excel/Word
- Simple accounting or construction-related math skills
- Willingness to learn new software tools like Google Earth and Microsoft Project
- Excellent interpersonal skills and ability to maintain confidentiality
- Strong organizational skills and ability to identify and resolve problems promptly
- Experience in development/construction administration or accounting/bookkeeping preferred
