About the role

The Junior Human Resources Specialist supports day-to-day Human Resources activities, including recruitment and onboarding, employee record maintenance, employee inquiries, and policy compliance. This role serves as a key liaison between employees and the Human Resources department.

Job Duties & Essential Functions

  • Support recruitment activities, including posting job requisitions, coordinating with internal and external candidates, initiating background screenings, generating offer letters, and assisting hiring managers with ATS processes.
  • Support smooth and compliant onboarding and offboarding processes, including preparation of employment documentation and coordination with cross-functional partners.
  • Partner with Talent Acquisition as needed to ensure a seamless candidate-to-employee transition experience.
  • Collaborate with HR team members to plan and facilitate new hire orientation and onboarding activities; present orientation content related to HR policies and procedures as needed.
  • Respond to routine employee inquiries and provide timely, accurate information related to HR policies, procedures, and processes.
  • Liaise with employees, supervisors, managers, and coworkers to assist with issue resolution and administrative support.
  • Carefully coordinate the annual purge of outdated HR records.
  • Perform administrative and operational support functions, including file maintenance and auditing, scanning files, report generation, invoice reconciliation and payment processing, and preparation of correspondence.
  • Maintain strict confidentiality regarding personnel matters, employee relations issues, legal actions, terminations, and organizational plans.
  • Provide guidance and support to ensure compliance with organizational policies, procedures, federal and state employment laws, and EEOC regulations.
  • Perform other duties as requested, directed, or assigned.

Required Experience & Qualifications

  • Bachelor’s degree in Business Administration, Human Resources, or a related field and a minimum of one (1) year of HR administrative experience; or, in lieu of a degree, at least three (3) years of full-time Human Resources experience.
  • Working knowledge of general Human Resources practices and employment regulations.
  • Strong organizational skills with the ability to prioritize, plan, and manage multiple administrative tasks.
  • Strong attention to detail and analytical skills; ability to work methodically and accurately in a fast-paced environment.
  • Strong communication and interpersonal skills.
  • Excellent customer service orientation and ability to work effectively as part of a team.
  • Proficiency in Microsoft Word, Excel, and Outlook.
  • Demonstrated understanding of the importance of employee and organizational confidentiality.

Preferred Experience & Qualifications

  • Experience working as an HR Assistant or a similar role.
  • Human Resources experience in a healthcare environment.
  • Experience working in a unionized setting.
  • SHRM and/or PHR certification.
  • Experience with ADP, HRIS platforms, and HealthStream (LMS).
  • Experience using an applicant tracking system, preferably Taleo.
  • Advanced Excel skills.
