About The Role

Americas Enterprise Technology deploys approximately 2,500 devices and retrieves 1,500 devices per year across the United States. Behind every on-time deployment and clean return is someone who received the hardware correctly, staged it to standard, tracked it accurately, and got it where it needed to go. That is this role.

The IT Asset Coordinator owns the end-to-end lifecycle of IT hardware within Technology Operations across all US offices, from procurement and inbound receiving through staging, deployment, and disposition. This is a hands-on, operationally critical position that sits at the center of the team's ability to deliver a reliable, consistent experience to every employee we support.

This role offers the opportunity to build broad exposure across Technology Operations, including asset lifecycle management, procurement, service delivery, and enterprise technology systems. As you develop expertise and demonstrate ownership, you'll have opportunities to expand your responsibilities, contribute to process improvements, and pursue growth opportunities within Enterprise Technology.

We're looking for someone who is organized, precise, and takes ownership of their work. They understand that accurate asset records and on-time shipments are not simply administrative tasks; they are the foundation of a positive end-user experience.

What You Will Do

  • Receiving & Inbound Processing: Receive, inspect, and log all incoming IT hardware — laptops, peripherals, and accessories. Verify shipments against purchase orders and document and escalate any discrepancies. Perform intake QA: physical inspection, serial number capture, and initial asset tagging.
  • Asset Staging & Preparation: Clean, image, and stage devices for deployment in accordance with build standards. Coordinate with the IT team to confirm device configuration and readiness prior to shipment. Pack and label equipment for outbound delivery to end users across the US.
  • Inventory & Asset Management: Maintain accurate, real-time inventory records across all hardware categories. Update the CMDB (ServiceNow or equivalent) with asset status, location, and assignment throughout the device lifecycle. (Will Train) Conduct regular cycle counts and reconcile physical inventory against system records. Monitor stock levels and proactively flag replenishment needs to management. Organize and maintain storage areas to ensure efficient access and proper handling of equipment.
  • Procurement Support: Submit and track purchase orders, coordinating with vendors on lead times and delivery status. Confirm receipt of all ordered hardware and update records upon delivery. Support annual hardware planning by providing accurate inventory and consumption data.
  • Shipping & Logistics: Coordinate outbound shipments to end users, including carrier scheduling and documentation. Communicate proactively with recipients on delivery windows and any changes. Manage return logistics for off-boarded, replaced, or damaged equipment.
  • Reporting & Documentation: Maintain accurate records in the asset management system and supporting spreadsheets. Provide regular status updates on deployment volumes, open orders, and inventory position. Support audit requests by producing accurate, on-demand asset reports.

Education & Experience

  • High school diploma or equivalent required; associate's or bachelor's degree a plus.
  • 1–3 years of experience in IT asset management, warehouse operations, or a related field.
  • Strong verbal communication and interpersonal skills — you deal with people every day and need to be clear, professional, and easy to work with.

Required Qualifications

  • Proficiency in Microsoft Excel for inventory tracking and reporting.
  • Strong attention to detail — accuracy in asset records is non-negotiable.
  • Reliable and punctual, with the ability to manage a high-volume workload with minimal supervision.
  • Demonstrated experience with shipping and receiving — logging inbound shipments, verifying against purchase orders, and coordinating outbound deliveries.
  • Hands-on experience with inventory management — cycle counts, stock reconciliation, and maintaining accurate records across a physical inventory.
  • Familiarity with carrier platforms and shipping documentation (FedEx, UPS, or similar).
  • Comfortable working in an asset depot environment — standing, moving equipment, and managing physical inventory for extended periods.
  • Ability to lift and carry items up to 50 lbs on a regular basis.

What Will Set You Apart

  • Hands-on experience with an asset management or CMDB system (ServiceNow, Cherwell, or similar).
  • Experience with laptop or PC hardware staging and imaging.
  • Familiarity with ITIL asset management practices.
  • Prior experience in a corporate IT environment supporting a distributed workforce.
  • CompTIA A+ or equivalent certification.

What Success Looks Like

  • In your first 30 days, you have a clear understanding of the full asset lifecycle — the processes, the tools, the key vendors, and how work flows through the team.
  • At 60 days, you are managing inbound and outbound independently. Your records are accurate, your queue is under control, and the team trusts that nothing falls through the cracks on your watch.
  • At 90 days, you are proficient across all areas of the role — procurement coordination, staging, shipping, and CMDB accuracy. You are not just keeping up; you are staying ahead.
  • At six months, you are a reliable operational backbone for Technology Operations — proactively flagging stock needs, leading lifecycle projects, and consistently delivering an experience that makes every device deployment feel effortless to the people receiving it.

Pay & Benefits

  • Annual salary range: $34K-$50K. Placement within the salary range is based on a variety of factors, including relevant experience, knowledge, skills, and other factors permitted by law.

Schedule

This is a fully onsite position based in our Norwalk, CT office. Team members are required to work onsite Monday through Friday from 8:00 AM to 5:00 PM ET.
