About the role
PPAU is seeking a full-time (40 hours/week) Inventory Manager to oversee organization-wide procurement, supply chain operations, and inventory controls for clinical and administrative supplies.
Responsibilities
- Serve as the primary administrator for the Hybrent inventory system, ensuring accurate records, catalog maintenance, and user access.
- Manage organization-wide ordering, receiving, and distribution of supplies; build vendor relationships to align purchasing with negotiated contracts and budgets.
- Lead inventory planning to prevent shortages, reduce waste, and continuously update standard operating procedures (SOPs).
- Partner with the Pharmacist-in-Charge to support drug ordering, tracking, and compliance (including 340B Program requirements).
- Maintain drug data across EPIC and Hybrent, submitting support tickets (e.g., to BetterHealth) to update NDCs as needed.
- Assist the PIC and Nursing Director with monthly controlled substance audits and electronic DEA ordering (CII-CV), maintaining strict compliance and separation of duties.
- Conduct regular health center visits to audit inventory accuracy, storage conditions, and temperature/security logs.
- Guide managers through physical inventory counts, review and approve Hybrent orders, and personally coordinate or deliver supplies when needed.
- Complete monthly financial inventory reports, analyze purchasing trends, and identify cost-saving product alternatives.
- Support month-end closeout reporting and detailed 340B invoice reconciliation.
- Train staff on inventory best practices, Hybrent usage, and ordering processes to promote consistency across all clinics.
- Partner with Finance, Compliance, Facilities, and IT to resolve supply chain bottlenecks.
- Maintain strict confidentiality (HIPAA) and represent PPAU’s mission and commitment to equitable care in all interactions.
Requirements
- Experience & Education: 3-5 years in inventory management or supply chain logistics (medical/healthcare environment strongly preferred). A Bachelor’s degree in a related field or equivalent experience is preferred.
- Technical Skills: Proficiency with inventory software (Hybrent preferred) and electronic health records (EPIC preferred). Advanced Excel skills for data tracking are required.
- Compliance Knowledge: Familiarity with healthcare purchasing, standard operating procedures (SOPs), and regulatory compliance (like 340B and pharmaceutical tracking).
- Analytical Skills: Strong problem-solving skills to manage data, analyze purchasing trends, and resolve inventory discrepancies.
- Travel & Logistics: Ability to travel up to 50% of the time to local PPAU clinics for site visits and deliveries; requires a valid driver’s license and reliable transportation.
