Inventory Coordinator Lead - Full Time Days at Pennsylvania Hospital

Responsibilities

  • Responsible for the overview for all pharmacy areas in determining the best source of supply of ordered items based on availability, price, and quality following Pharmacy policies and procedures.
  • Responsible to inspect and maintain adequate inventory levels of medications and supplies.
  • Aids in the development and implementation of inventory cost containment initiatives.
  • Schedules, supervises and assists with all pharmacy inventories. Is responsible for compilation of all required data to ensure accuracy.
  • Maintains a clean, orderly, and safe environment to facilitate accurate and safe location and retrieval of medications by pharmacy staff.
  • Coordinates product recalls and performance issues. Maintains necessary documentation.
  • Supervises the timely processing and storage of all returns of outdated and unusable items to their respective vendors, and the maintenance of all transactions to ensure proper crediting.
  • Maintains and updates computer order processing systems with drug wholesalers. Identifies and communicates usage trends when necessary.
  • Forwards invoices for review and approval to Director of Pharmacy in timely manner. Reports any irresolvable discrepancies to Director of Pharmacy or any of the Associate Directors immediately.
  • Works closely with Business Manager and Senior Financial Analyst to provide pertinent information and data when needed.
  • Coordinates and reconciles the delivery, receipt, and storage of goods purchased. Accurately performs data entry of stock and non-stock purchases utilizing web-based sites and other software.
  • Maintains spreadsheets and records of purchasing trends (ex. vendor log, hemostat log).
  • Assesses inventory and purchasing workloads for all pharmacy areas to anticipate possible issues. Requests resources and offers solutions to minimize problems.
  • Adheres to purchasing authority guidelines, as determined by the Director of Pharmacy. Responsible to assure that all requests for purchase of non-approved or non-formulary medications have been properly approved by Pharmacy managers.
  • Maintains cost data relevant to unanticipated drug expenditures to aid in the justification of budget variances.
  • Works closely with the Director of Pharmacy on PAH Medication Value Committee to research cost savings possibilities.

Training

  • Responsible for the training of all personnel who work in the inventory and purchasing area.
  • Serves as their first point of contact for questions or concerns.
