Position Summary

The Intake Clerk will support the Practice Services department and aid increased workflow.

Responsibilities

  • Provide administrative support to the Practice Support department to maintain the integrity of the Firm’s conflicts database.
  • Effectively submit preliminary conflicts searches and new matter requests in the new business intake workflow system.
  • Maintain clear and professional communication with clients, attorneys, and other staff members to facilitate a smooth intake process.
  • Participate in cross-training within the intake team to ensure comprehensive knowledge of all intake procedures.
  • Provide coverage for team members during absences or high-volume periods to maintain consistent service levels.
  • Accurately input client matter information and case details into the firm's case management system, ensuring data integrity and confidentiality as required.
  • Stay current with best industry practices and new developments in the area of conflicts of interest and risk management.
  • Participate in continuing education, research, networking, and professional and industry organizations to advance competencies.
  • Assist with billing and time entry projects.
  • Participate in special projects.
  • Assume any other duties as assigned.

Minimum Job Qualifications

  • Excellent analytical skills.
  • Ability to draw accurate conclusions from complex sets of information.
  • Advanced internet skills, and exceptional attention to detail.
  • Previous experience in a law firm, professional services or consulting firm in processing new business and/or conflicts of interest is strongly desired.
  • Excellent interpersonal, written and verbal communication skills.
  • Ability to work with personnel at all levels.
  • Excellent professional work ethic, initiative and customer service.
  • Experience with CMS/Aderant and Intapp Open Enterprise.
  • Proficiency in Microsoft Office programs.
  • Ability to work with tight deadlines and to provide off hours (evenings, weekends and holiday) to support projects and escalated issues, as needed.
