Position Summary
The Intake Clerk will support the Practice Services department and aid increased workflow.
Responsibilities
- Provide administrative support to the Practice Support department to maintain the integrity of the Firm’s conflicts database.
- Effectively submit preliminary conflicts searches and new matter requests in the new business intake workflow system.
- Maintain clear and professional communication with clients, attorneys, and other staff members to facilitate a smooth intake process.
- Participate in cross-training within the intake team to ensure comprehensive knowledge of all intake procedures.
- Provide coverage for team members during absences or high-volume periods to maintain consistent service levels.
- Accurately input client matter information and case details into the firm's case management system, ensuring data integrity and confidentiality as required.
- Stay current with best industry practices and new developments in the area of conflicts of interest and risk management.
- Participate in continuing education, research, networking, and professional and industry organizations to advance competencies.
- Assist with billing and time entry projects.
- Participate in special projects.
- Assume any other duties as assigned.
Minimum Job Qualifications
- Excellent analytical skills.
- Ability to draw accurate conclusions from complex sets of information.
- Advanced internet skills, and exceptional attention to detail.
- Previous experience in a law firm, professional services or consulting firm in processing new business and/or conflicts of interest is strongly desired.
- Excellent interpersonal, written and verbal communication skills.
- Ability to work with personnel at all levels.
- Excellent professional work ethic, initiative and customer service.
- Experience with CMS/Aderant and Intapp Open Enterprise.
- Proficiency in Microsoft Office programs.
- Ability to work with tight deadlines and to provide off hours (evenings, weekends and holiday) to support projects and escalated issues, as needed.
