About the role
The Inside Sales/Dispatch position focuses on increasing revenue through acquiring new accounts, suggestive selling techniques, and fostering professional relationships. This role coordinates and delivers services to customers, including processing orders for deliveries and pick-ups, handling telephone inquiries, and troubleshooting equipment issues. Acting as a virtual link between customers, sales, dispatch, and management, you will ensure quality solutions and service. Approximately 80% of the role is office-based, with 20% spent in the yard, and includes cross-training as a Dispatcher.
Pay
Starting at $24 to $31 per hour, dependent on experience, with a quarterly performance bonus.
Schedule
Monday – Friday, 7:00 AM to 5:00 PM (overtime eligible).
Responsibilities
- Answer and document all incoming telephone calls to assist customers with rental needs, including assisting customers, outside sales, vendors, Sunstate administrative personnel, and other inquiries.
- Perform routine rental transactions: create reservations, schedule pickups, generate quotes, and process returned driver orders.
- Assist walk-in customers, vendors, and potential job applicants in an upbeat and professional manner.
- Help customers select appropriate equipment for their job to ensure satisfaction and safety.
- Communicate via two-way radio with the yard and shop to assist with loading/unloading equipment and fulfilling orders.
- Review the credit card rental file daily to ensure accurate billing.
- Enter lost rentals, rate inquiries, and service calls into the counter logbook.
- Review the open contract bin regularly for items to be rented, closed contracts, and credit card rental accuracy.
- Communicate leads to field sales personnel for follow-up.
- Efficiently schedule and dispatch drivers/equipment to fulfill customer requests.
- Ensure all scheduled deliveries, pick-ups, exchanges, and service calls are met or exceeded.
- Coordinate and prioritize deliveries, exchanges, pick-ups, and service calls, including completing "Must Pick-ups" by end of day.
- Set daily driver schedules to manage overtime and ensure lunch breaks.
- Escalate truck/equipment problems, late deliveries, and personnel issues to management for timely resolution.
- May assist with loading/unloading and delivering equipment for customers.
- May be required to work extended hours or on-call/standby rotation.
Requirements
- Minimum of 2 years of experience in a customer service role, managing logistics, or coordinating activities.
- Minimum of 2 years of inside sales experience (direct customer contact) preferred.
- Sales ability to identify customer needs through suggestive selling or upselling, and strong relationship-building skills.
- Comfortable working both independently and as part of a team.
- Knowledge of the local geographical layout, ability to read maps, and navigate GPS.
- Strong communication skills, including active listening, verbal, and written abilities.
- Aptitude for problem-solving in a fast-paced environment.
- Exceptional organizational skills and effective time management.
- Technologically capable: Microsoft Suite knowledge; Computer Aided Dispatch (CAD) and AS 400 highly preferred.
- Ability to focus on details and complete tasks accurately.
- Adaptability to adjust priorities based on orders received.
- Proficiency in basic computer and typing skills.
- Ability to collaborate with team members to meet sales goals.
- Ability to read, write, and speak English; bilingual is a plus.
- Knowledge of applicable DOT rules, regulations, and laws is a plus.
