About the role

At the Impact Ministry Training Center (IMTC), every detail matters because every person we serve matters. During a season of transition, we are looking for a steady, service‑minded Interim Administrative Support Contractor to help keep priorities moving, communication clear, and operations consistent. This role is a great fit for someone who enjoys bringing order to complexity, follows through with care, and takes pride in helping leaders and teams stay organized and supported.

As our Interim Administrative Support Contractor for IMTC, you’ll help keep ministry moving forward by bringing consistency, clarity, and follow‑through to the work that supports leaders, teams, and key priorities. You will step into meaningful work that directly supports ministry and people, help stabilize operations and bring calm, clarity, and follow‑through to high‑priority workstreams, work alongside a mission‑driven team that values collaboration, reliability, and excellence, and focus on execution within existing systems with clear priorities and practical support. Your work will not just keep calendars and paperwork moving; it will help create the stability and support needed for ministry to thrive.

IMTC is navigating a transition season, and consistent administrative execution is essential. This role helps ensure schedules are maintained, details do not slip, follow‑ups happen, and leadership has the support needed to move important work forward steadily and reliably.

Responsibilities

  • Keep calendars moving: Manage scheduling, confirm availability, and make sure meetings are clearly set with the right details and materials.
  • Support communication flow: Monitor assigned messages and requests, route them to the right owners, and follow‑through until next steps are completed.
  • Coordinate vendors smoothly: Help manage vendor needs, keep basic documentation organized, and track vendor‑related items as needed.
  • Prepare reimbursements well: Collect and organize reimbursement documentation, build complete submission packets, and route items for approval and processing.
  • Handle meeting and event logistics: Coordinate space and supply needs, support basic setup, and ensure details are communicated clearly.
  • Strengthen follow‑through: Prepare agendas and materials as requested, capture action items when assigned, and track next steps to completion.
  • Support grant administration: Organize grant‑related files, maintain simple trackers, and help ensure required documentation is complete and accessible.
  • Keep work visible and on track: Maintain task tracking, execute weekly priorities within existing systems, and escalate questions early rather than redesigning workflows.
  • Stay meeting ready: Attend virtual and in‑person meetings as needed with at least one day advance notice.

Requirements

  • 2 or more years of administrative or operations support experience (executive support or team support preferred)
  • Strong calendar management and scheduling coordination skill
  • Excellent follow‑through with high attention to detail
  • Confidence managing multiple priorities while staying organized and dependable
  • Strong written and verbal communication skills with a professional, service‑minded approach
  • Proficiency with common administrative tools (email, calendars, shared drives, task trackers, and document preparation)
  • Ability to work within established systems and processes, escalating questions early when needed

Qualifications

  • Experience supporting reimbursements, vendor coordination, or basic financial documentation workflows
  • Experience supporting meeting and event logistics in a fast‑paced environment
  • Familiarity with nonprofit, church, or ministry operations
  • Experience maintaining administrative trackers or supporting grant documentation (administrative side)
  • A teachable, coachable attitude with a commitment to learning and continuous improvement

Skills

  • Administrative Excellence: You keep details organized, anticipate needs, and ensure tasks are completed accurately and on time.
  • Prioritization and Follow‑Through: You can manage competing requests, track action items, and close loops consistently.
  • Communication and Professional Presence: You communicate clearly and courteously, representing IM
