Job Summary
Serve as the primary point of contact for HR-related issues. Answer incoming telephone calls and emails; provide appropriate information with regards to staff concerns. Manage employment records in an accurate and timely manner related to hiring, transferring, and terminating all staff in all HR systems.
Responsibilities
- Coordinate and communicate necessary staff employment information to other departments in an accurate and timely manner.
- Create and maintain personnel files to comply with organization standards and government regulations.
- Conduct weekly HR new hire orientations and informational meetings for all staff, including material preparation and presentation.
- Communicate HR procedures and laws to staff as well as direct staff to appropriate contract language and Board policy regarding different HR processes (i.e. college course approvals, transcripts, retirement, stipends, leaves - FMLA, pregnancy, unpaid).
- Cook up and maintain work calendars, stipend reports, compliance trainings, and licensure notices and distribute to staff when appropriate.
- Cook up and distribute service awards and retirement items.
- Assess college course approval requests, transcripts, and leave requests based on contract language and Board policy; process accordingly.
- Review recommendation to hire forms and other pertinent HR forms and notify supervisor of questionable information.
- Update and maintain appropriate schedules (i.e. salary, stipends, time & attendance, etc.), calendars, and financial system and tables when applicable.
- Audit HR systems' data for accuracy and update as needed.
- Examine, recommend changes, and adjust systems and processes to achieve best productivity and efficiency as possible.
- Complete and maintain required OSHA reporting and forms to ensure compliance with prevailing laws and regulations.
- Manage regular routine tasks/projects as scheduled by deadlines.
- Provide clerical assistance to the department as needed.
- Perform other duties as assigned.

- Demonstrate knowledge of office management procedures.
Education/Certification/Qualifications
- Any combination of education and experience providing the required skill and knowledge for successful performance would be qualifying.
- Typical qualifications would be equivalent to: 2 years of college and 3 years of experience.
- Successful experience with office management preferred.
- TRS, IMRF, and Skyward experience a plus.
Physical Abilities
- Works in standard office and school building environments.
Working Conditions
- District Office.
Travel Requirement
- Travel between schools may be required.
