Essential Functions
- Leave Administration (70%)
- Process, coordinate, and track leave of absences (including FMLA and short/long-term disability).
- Act as the first point of contact for all leave and ADA questions and processing, including effectively communicating leave and return-to-work requirements.
- Maintain all necessary leave and ADA documentation in accordance with federal/state regulations and firm policies.
- Work with third-party vendors, and state leave programs, to process leave and ADA communications.
- Communicate status/updates to necessary individuals via email and/or phone.
- Cookordination with employees and managers to manage return-to-work processes and transitions.
- File third-party leave documentation in confidential personnel or leave folders in a timely manner.
- Enter leave time/pay into the tracker, HRIS, and coordinate with the payroll team regarding pay and benefits related to a leave of absence.
- Support workers’ compensation administration, including intake of claims, coordination with carriers and internal partners, tracking claim status, and maintaining required documentation.
- HR Operations (25%)
- Administer and maintain HR systems to ensure accurate employee data, reporting, and compliance.
- Conduct new hire audits (including periodic audits of existing employees) to ensure accurate setup, documentation, and system entry; report findings to the HR Supervisor.
- Support internal transfer processes, including coordination of documentation, system updates, and communication with stakeholders.
- Maintain compliance with federal, state, and local labor law posting requirements.
- Administer service award and retirement milestone processes, including tracking eligibility and coordinating notifications.
- Complete and maintain payroll checklists to support accurate and timely payroll processing.
- Monitor and reconcile PTO and sick/safe time balances, including negative balances and state-specific usage requirements.
- Process and respond to verifications of employment in a timely and confidential manner.
- Prepare, review, and reconcile HR reports related to leaves, timekeeping, and compliance.
- Identify process gaps and recommend improvements to enhance efficiency, accuracy, and compliance.
- Partner with HR leadership, Payroll, and other internal teams to resolve discrepancies and support operational needs.
- General and Administrative (5%)
- Perform other duties as assigned.
