About the Role
We are seeking a Human Resources (HR) Administrator to join our team in Vienna, Virginia, in a contract-to-permanent capacity. This role supports compliance-focused HR operations by coordinating credential collection, maintaining accurate employee records, and communicating directly with candidates to secure required documentation. The ideal candidate is organized, proactive, and comfortable managing multiple priorities in a fast-paced environment while delivering clear communication throughout the hiring and onboarding process.
Responsibilities
- Contact candidates and employees to gather certifications, licenses, and other required compliance documents in a timely manner.
- Review submitted credentialing materials for completeness and follow up on missing or outdated information.
- Maintain accurate HR records by entering, updating, and organizing documentation within shared digital folders and tracking systems.
- Support administrative HR processes to help ensure onboarding requirements are completed efficiently.
- Monitor document status and keep internal records current to support compliance standards and audit readiness.
- Communicate clearly with candidates, team members, and stakeholders regarding outstanding requirements and next steps.
- Manage multiple tasks simultaneously while meeting deadlines in a high-volume, fast-moving work environment.
- Use Microsoft Office tools to prepare, track, and maintain HR-related reports, files, and correspondence.
Requirements
- At least 1 year of experience in HR administration, credentialing, compliance support, or a related administrative role.
- Experience handling background checks, document collection, or onboarding support activities.
- Strong verbal and written communication skills with confidence in making frequent outbound calls.
- Ability to work efficiently in a fast-paced environment and balance competing priorities with accuracy.
- Proficiency in Microsoft Office Suite, including Outlook, Word, and Excel.
- Familiarity with HRIS platforms and general HR recordkeeping practices.
- Strong organizational skills with careful attention to detail and document accuracy.
- Self-motivated approach with the ability to learn quickly and take initiative in daily responsibilities.
