Human Resources Coordinator
University of South Carolina School of Medicine Columbia is seeking a Human Resources Coordinator to support approximately 700 employees and 1,700 affiliates across the Floyd School of Medicine, including Basic Sciences, Florence initiative, Brain Health Network, and leased Prisma Health Medical Group-Midlands departments.
About the role
Under general supervision, this position manages and coordinates professional human resources duties, ensuring operational accuracy and efficiency in HR actions for staff, faculty, and affiliates. Responsibilities include processing hiring, job changes, reappointments, and terminations in HCM-PeopleSoft and PeopleAdmin systems, as well as supporting performance reviews, time and labor administration, and special HR projects.
Responsibilities
- Manages and coordinates the entire hiring process for staff, temporary, research grant, time-limited positions, and non-academic affiliates, including recruiting, hiring proposals, offer letters, onboarding tasks, and Form I-9 completion. Evaluates and approves hiring proposals for accuracy and compliance.
- Assists interview committees with HR interviewing and recruitment tools as needed.
- Processes position description updates (reclassifications, ADR, PD changes such as department, supervisor, hours, and location) in PeopleAdmin.
- Coordinates the FSOM Annual review for FTE staff to ensure compliance with DHR.
- Serves as backup for FSOM HR team for hires and position description actions (30% of time).
- Initiates and approves transactions in HCM-PeopleSoft for HR actions, salary changes, status changes, hours worked, supplements, PFP, and bonus payments. Advises and coordinates with HR contacts to ensure compliance.
- Ensures proper completion, documentation, and maintenance of employee files.
- Serves as backup and assists the FSOM HR team as needed (25% of time).
- Interprets, provides guidance, and enforces HR policies and procedures. Serves as a liaison between faculty, staff, and HR contacts to obtain and provide HR-related information.
- Assists employees with Time & Labor (T/L) and ABS-related issues and serves as backup for T/L Administrator (10% of time).
- Manages and completes special HR-related projects, such as I-9 audits, quarterly DHR telecommuting reports, and collaboration with the Office of the Dean and Legal Office on special requests.
- Analyzes and prepares yearly staffing, turnover, and hiring reports for FSOM HR and leadership. Serves as backup for monthly Prisma reports for the Benefits Administrator (10% of time).
- Evaluates and escalates moderate to high-level HR issues, providing support such as collecting documentation, conducting interviews, preparing leave reports, and participating in meetings (10% of time).
- Coordinates and manages the FSOM Staff Annual EPMS Program for assigned areas, advising managers on the process, providing evaluation tools, and ensuring compliance (10% of time).
- Performs other duties as assigned (5% of time).
Requirements
- Bachelor’s degree in a job-related field and 2 or more years of relevant experience, which may be substituted by an equivalent combination of certification, training, education, and/or experience.
- Knowledge of USC HR policies, State of SC HR regulations, and applicable federal HR laws/regulations specific to higher education.
- Prior experience with cross-functional HR program management.
- Proficiency in Microsoft Office products, HCM PeopleSoft, and PeopleAdmin or similar HR systems.
- Demonstrated ability to manage multiple assignments simultaneously and work effectively both independently and as part of a team.
- Strong communication skills, both oral and written, with the ability to collect, generate, and present HR-related data.
- Commitment to conducting business lawfully and ethically by adhering to compliance policies, procedures, and regulations.

Pay
Anticipated hiring range: $49,700–$72,065 (USC Market Range MRE).
Schedule
- Full-time (37.5 hours per week)
- Standard working schedule: 8:30 AM–5:00 PM, with flexibility to meet departmental needs.
