Human Resources Coordinator

About the Role

Reporting to the Production Manager, the Production Associate provides administrative and clerical support for production operations. This position assists with maintaining records related to receiving, storing, processing, and canning olives within Dynamics 365 and other business systems. The Production Associate supports production, supply chain, warehouse, and storage yard activities through data entry, document processing, inventory record maintenance, and reporting to help ensure accurate and timely operational records.

Responsibilities

• Support day-to-day Human Resources operations and administrative functions.
• Assist with employee onboarding, orientation, and new hire documentation.
• Maintain accurate employee records, personnel files, and HRIS data.
• Process employee status changes, including transfers, promotions, pay changes, and separations.
• Support employee leave administration, including FMLA, CFRA, PDL, and other applicable leave programs.
• Assist with payroll processing activities, auditing employee data, timekeeping, and payroll-related recordkeeping.
• Respond to employee inquiries regarding HR policies, benefits, payroll, and employment-related matters.
• Assist with benefits administration, open enrollment activities, and employee benefit inquiries.
• Support employee engagement initiatives, company events, and wellness activities.
• Prepare reports, spreadsheets, presentations, and HR-related communications as needed.
• Assist with audits, compliance initiatives, and special HR projects.
• Translate or interpret employment-related information between English and Spanish as needed.
• Promptly report all food safety, quality, environmental, and social compliance concerns to management.
• Partner with staffing agencies and temporary workforce providers as assigned.
• Perform other duties and special projects as assigned.

ShareStaff Responsibilities

• Serve as ShareStaff's onsite representative at Musco, acting as the primary point of contact for ShareStaff temporary employees assigned to the plant.
• Coordinate temporary employee onboarding, site orientation, assignment details, required documentation, and ongoing communication with ShareStaff.
• Act as the primary onsite contact for temporary employee questions, routine concerns, and policy or workplace expectations; escalate employee relations matters to ShareStaff and Musco HR as appropriate.
• Provide ShareStaff with feedback regarding temporary employee performance, attendance, conduct, assignment extensions, reassignments, and conversion opportunities.
• Investigate and report workplace injuries and conduct weekly safety walkthroughs.

Qualifications

• Associate degree in Human Resources, Business Administration, or a related field preferred.
• High school diploma or GED required.
• One (1) to three (3) years of Human Resources, payroll, administrative, or related experience preferred.
• Experience supporting leave administration, payroll processing, employee onboarding, or HR compliance activities preferred.
• Proficiency with Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint.
• Experience with HRIS, payroll, and applicant tracking systems preferred.
• Strong organizational, time management, and multitasking abilities.
• Excellent written and verbal communication skills.
• Strong attention to detail and accuracy.
• Ability to handle confidential and sensitive information with discretion.
• Bilingual English/Spanish preferred.

Work Environment

This role requires operation of forklifts, aerial lifts, golf carts, and other equipment, and involves working around active machinery in both indoor and outdoor settings, including areas with uneven surfaces. Employees are regularly exposed to elevated noise levels, temperature extremes, dust, fumes, and cleaning chemicals, particularly during maintenance and sanitation activities. The position may also require occasional work at heights.
