Job Description

OIT is looking for a detail-oriented Human Resources Assistant (HR Assistant) to join OIT’s Human Resources team and support our growing department.

You will be responsible for maintaining HR records, assisting with employee relations, and ensuring compliance with employment regulations. This role offers excellent exposure to all aspects of human resources and is perfect for someone looking to build a career in HR while making a meaningful impact on employee experience.

  • Supports 570+ employees with various inquiries for the life cycle of the employee.
  • Maintain accurate employee records in HRIS systems, ensuring data integrity and confidentiality at all times.
  • Coordinate training sessions and maintain training records for compliance and development tracking.
  • Prepare HR reports and analytics including headcount, turnover and compliance metrics for leadership.
  • Aid in payroll preparation.
  • Support compliance activities including I-9 verification, background checks and audit preparation.
  • Compile and update employee records.
  • Support Safety Officer with safety activities.
  • Process documentation and prepare reports relating to personnel activities (staffing, training, grievances, performance evaluations etc.).
  • Cook off employee requests regarding human resources issues, rules, and regulations.

Essential Functions

Competencies, Knowledge, Skills, And Abilities

  • Knowledge of HR practices and disciplines.
  • Proficiency with Microsoft Office, including Word, Excel, and Access.
  • Skills in database management, query, and reporting.
  • Strong oral and written communication skills.
  • Highly detail-oriented and organized.
  • Strong organizational skills with ability to manage multiple priorities simultaneously.
  • Customer service orientation with ability to interact professionally with employees at all levels.
  • Ability to exercise sound and independent judgment.

Qualifications

  • Education: High school diploma required; bachelor's degree program at an accredited college or university in Human Resources Management, Business Administration or any closely related field preferred.
  • Experience/Skill: 1-2 years of experience in human resources, administrative, or customer service experience preferred. 1-2 years of HRIS experience (e.g., Oracle, OnePhilly, or other similar Human Resources Information System) preferred.

  • The successful candidate must be a city of Philadelphia resident within six months of hire.
