Key Responsibilities
- Create and maintain employee files.
- Ensure employee records are accurate and up to date.
- Capture employee information on HR systems.
- Aid with employment contracts, letters, and HR correspondence.
- Maintain confidential employee information in accordance with POPIA.
Onboarding & Offboarding
- Coordinate new employee onboarding documentation.
- Track completion of onboarding requirements.
- Aid with exit administration and filing of termination documentation.
Payroll & Benefits Administration
- Aid with capturing leave and absenteeism records.
- Support payroll preparation and employee information updates.
- Maintain employee benefits records and documentation.
- Resolve basic employee payroll-related queries.
- Provide current and former employees with UIF documents.
General HR Administration
- Prepare HR reports and spreadsheets.
- Aid with HR projects and employee engagement initiatives.
- Manage filing systems, both electronic and manual.
- Handle general HR queries from employees.
- Perform other HR administrative duties as required.
Requirements
- Minimum qualifications: N4, N5, and N6 Certificate in Human Resource Management or equivalent.
- Experience: No prior work experience required. Previous administrative experience is advantageous.
- Knowledge: Basic understanding of Human Resources principles, understanding of labor legislation principles, knowledge of recruitment and employee administration processes, familiarity with POPIA confidentiality requirements.
- Skills & Competencies: Microsoft Office (Word, Excel, PowerPoint, Outlook), administrative and organizational skills, attention to detail, time management, professional communication skills, confidentiality and integrity, problem-solving ability, ability to work independently and within a team, strong willingness to learn and develop.
- Personal Attributes: Positive attitude, professional and reliable, customer-service orientation, adaptable and flexible, eager to learn, self-motivated, strong work ethic.
Learning Outcomes
By the end of the internship, the intern should have gained practical exposure to core HR processes, improved administrative and communication skills, and developed workplace readiness for future employment in Human Resource Management.
