About the role
The Sr. HR Specialist is the face of the employee experience for our MSO. You’ll serve as the go-to operational backbone for our team—whether that’s guiding someone through a benefits question, processing a name change or verification, or keeping onboarding running smoothly behind the scenes. In this fast-moving environment, you’ll partner closely with HR Business Partners, Benefits, Leave, Talent Acquisition, Learning, and Payroll teams to support our diverse workforce. Ahead of our Workday transition, we need a detail-obsessed, highly accountable self-starter who embraces change, works out loud, bridges operational gaps, and thoughtfully guides employees through new processes.
Responsibilities
- Provides employee relations support for needs such as performance management and terminations; administers exit paperwork, outprocessing, and exit interviewing
- Creates and processes all memos for the company, including annual merit increases, bonuses, equity grants, transfers, and any other employee actions requiring documentation
- Supports initiatives such as new hire training and onboarding, performance reviews, and compliance training
- Recommends new approaches, policies, and procedures to effect continual improvements in efficiency of the department and services performed
- Researches and resolves HRIS problems, and compiles reports from database
- Processes and maintains appropriate records regarding compensation changes including promotions, merit changes, bonuses, and commission plans
- Supports filing of annual EEO-1 report and other compliance reporting
- Assists in employee-centered initiatives to achieve employee engagement goals
- Supports recruiting and mergers & acquisitions on an ad hoc basis
- Administers HR plans and procedures for all employees
- Participates in enterprise-wide projects to support the broader People Operations team’s strategy and goals
- Perform other duties as assigned
- Serve as the welcoming primary operational contact for employee inquiries, resolving questions directly or routing them to specialized sub-teams with clear ownership
- Handle core administrative operations, including managing incoming voicemails, processing employment verifications (VOEs), filing digital records, and drafting/processing employee action memos for compensation updates, transfers, and title changes
- Maintain audit-ready employee records to the standards expected of a high-growth company
- Manage onboarding end-to-end: new hire documentation, employee files, orientation notices, and Form I-9/employment eligibility verifications
- Support new hire orientation, including facilitating HR Operations sessions and continuously updating reference materials across our internal knowledge tools as processes evolve
- Execute offboarding based on HRBP direction—generating employee termination letters, updating digital files, processing HR system terminations, notifying IT/Payroll as needed, and completing multi-state checklists using established tools and sound judgment
- Track annual compliance training and policy acknowledgment completion enterprise-wide
- Enter PTO and time adjustments for payroll validation, with a working understanding of pay calendars, close dates, and accrual balances
- Provide administrative support to Benefits and Leave teams: intake, tracking, and correspondence
- Support employee engagement and culture programming, including communities, recognition, and internal communications
- Build clean, employee-facing materials adhering to Privia brand standards utilizing Company-standard fonts, formatting, and templates
- Develop quick-reference guides, walkthroughs, trackers, workflows, and automations to streamline process changes and reduce manual effort
- Participate in enterprise-wide People Operations projects and perform other duties as assigned
Requirements
- 3+ years of progressive HR operations experience handling core lifecycle transactions, payroll coordination, and multi-channel inquiries (Publicly traded, multi-entity, or healthcare experience is a plus)
- Working knowledge of HRIS platforms (Paylocity or Workday preferred); experience supporting an HRIS system transition is a strong plus
- Sound understanding of core payroll mechanics, multi-state compliance fundamentals, and HIPAA rules
- Fluent across Google Workspace (Sheets, Docs, Slides) and Excel; comfortable using AI tools (such as Google Gemini) to drive daily efficiency
- Strong visual formatting and presentation skills to build materials to brand standard; excellent business writing and grammar
- Exceptional attention to detail, strong prioritization skills, and sound judgment with sensitive employee matters

Pay
The salary range for this role is $62,000.00-$65,000.00 in base pay and exclusive of any bonuses or benefits. This role is also eligible for an annual bonus targeted at 10%. The base pay offered will be determined based on relevant factors such as experience, education, and geographic location.

Technical Requirements
For remote workers: A minimum of 5 MBPS for Download Speed and 3 MBPS for the Upload Speed is required. Employees who regularly work from home offices are eligible for expense reimbursement to offset this cost.
