About the role
The Human Resources Generalist plays a crucial role in supporting the mission of Acacia Network, a leading human services organization in New York City. Reporting to the Vice President of Human Resources and Talent Management and the Human Resources Manager, this position focuses on driving change and performance management within the organization.
Responsibilities
- Act as the lead to ensure the employee requisition process is updated and maintained for the entire organization.
- Avoid inaccuracies in forms that prompt recruiters to post vacant positions.
- Affirm approval of all Employment Request Forms (ERFs) by the appropriate personnel.
- Maintain and update the Employment Request Form (ERF) binder to ensure HR has copies of submitted forms with completed new-hire information.
- Prepare new hire documents to begin the pre-employment process.
- Manage the onboarding process for the portfolio, ensuring all required documents are approved before contacting candidates.
- Ensure all necessary Job Descriptions are updated and provided to coordinators for the pre-employment process.
- Assist in the management of pre-employment background check processes under all regulatory agencies (OASAS, OMH, CHRC, DHOMH, etc.).
- Aid in compliance with pre and post-employment background requirements, including but not limited to SEL, SCR, CBC, etc.
- Process all Justice Center applications required by regulatory agencies.
- Submit weekly updates to the Criminal Background Check (CBC) to obtain arrest/informative notices on active employees and interns.
- Review quarterly Service Employee Licensing (SCR) invoices for accuracy.
- Assign appropriate allocations for employees.
- Prepare check requests for payments.
- Update and remove terminated employees from the database upon separation.
- Ensure all complete background application (SEL, Fingerprint, SCR) are scanned and saved in the HR Shared Drive.
- Assist in maintaining HRIS integrity.
- Work with the Payroll Department regarding ADP changes (e.g., new hires, rehires, terminations, salary adjustments, promotions, title changes, transfers, promotions, etc.) under the portfolio.
- Complete FLSA testing for positions to determine appropriate classification status and compliance with Department of Labor standards.
- Update and maintain the position control and requisition log to ensure adherence to annual budgets and accurately maintain staffing/FTE levels.
- Provide various trainings to assigned portfolios.
- Prepare Weekly HR reports for all areas of responsibility.
- Maintain knowledge and understanding of existing and proposed federal and state labor laws/regulations to ensure compliance.
- Attend and actively participate in departmental, organizational, or external meetings, trainings, workshops as required.
Requirements
- A High School Diploma or GED equivalent is required.
- A Bachelor’s degree in human resources management, Organizational Development, Business Management, or an equivalent related field is preferred.
- Two or more years of previous relevant experience in Human Resources is required.
- Familiarity with HR functions including recruiting and hiring, benefit administration, employee/labor relations, and compensation is essential.
- Familiarity with medical/dental/life insurance enrollment and administration is beneficial.
- Knowledge of federal, state, and local labor laws is required.
- Good judgment and decision-making abilities are necessary.
- Ability to interface with associates and management at all levels, handling confidential issues and information with discretion is important.
- Strong PC skills including MS Office and ADP Workforce Now are required.
- The ability to maintain a professional demeanor under pressure and operate with a keen sense of urgency and commitment to quality is essential.
- A PHR or SHRM-CP certification is a plus.
