Position Summary
The HR Administrator is responsible for providing comprehensive administrative support throughout the employee life cycle and ensuring efficient office coordination. This role focuses on maintaining accurate records, handling HR documentation, and updating essential trackers, as well as managing office services and logistics. The HR Administrator plays a vital role in supporting the HR team and fostering a positive workplace environment by effectively managing the office and coordinating local initiatives.
Responsibilities
- Administer new hire processes, including I-9 verification, monitoring onboarding progress, initiating pre-employment screening, and creating and issuing offer letters
- Provide administrative support for employee offboarding, ensuring all required documentation and exit procedures are completed
- Prepare and issue job change, termination, salary change, and other HR-related documents
- Ensure all HR and office-related trackers are up to date and accurately reflect current statuses
- Maintain accurate and up-to-date employee records in HRIS systems and employee files, ensuring compliance with company policies and legal requirements
- Support the wider HR team with administrative activities as required
- Direct and manage essential office services, including: security, maintenance, mailroom, archiving, cleaning, catering, waste disposal, and supplies restocking
- Carry out administrative tasks to support SHV Executive visits, including: scheduling, logistics coordination, and hotel bookings
- Act as an office ambassador, promoting a positive and inclusive workplace culture and driving local initiatives and event organization
- Keep up to date with administrative, auditing, and reporting responsibilities required of the position
- Ensure compliance with all company policies and procedures related to HR administration and office coordination tasks
- Serve as a point of contact for employees regarding office-related matters and initiatives, providing information and support as needed
- Assist in preparing the office budget, manage expenses, and liaise with the accounting department
- Coordinate with vendors to ensure high-quality service delivery
Requirements
- Minimum of 3 years of experience in HR administration or a similar role
- Experience with administering and maintaining records in HRIS systems
- Strong knowledge of HR processes and best practices
- Excellent organizational and multitasking abilities
- Strong attention to detail and accuracy
- Effective communication and interpersonal skills
- Ability to handle sensitive information with confidentiality and professionalism
- Understanding of legal requirements related to HR administration and office coordination
- Proactive and able to work independently as well as part of a team
- Demonstrated ability to foster a positive and inclusive workplace culture
Qualifications
- High School Degree (preferred)
- Proficiency in using Workday and ADP HRIS systems (preferred)
- Experience in office management or coordination (preferred)
- Previous experience supporting executive visits and organizing events (preferred)
- Experience driving local initiatives and employee engagement activities (preferred)
Physical Demands
- Employee is regularly required to talk or hear, stand, and walk
- Employee is occasionally required to lift office products and supplies, up to 20 pounds
