About the role
Levy is seeking a candidate to perform a variety of clerical duties, including answering telephones, bookkeeping, typing, word processing, office machine operation and filing. The pay range for this position is $17.13 to $24.50.
Responsibilities
Your HR responsibilities will include ensuring complete confidentiality and security of personal employee information, coordinating recruiting functions, maintaining personnel files, and serving as primary contact for employee concerns, hiring, and payroll functions.
- Coordinate recruiting functions; assist with new hire orientations and other training and employee communications.
- Maintain all personnel files, process new hires and separations, ensure compliance/accuracy in employee files, HRIS system maintenance & tracking.
- May perform other additional duties and responsibilities as assigned.
Essential duties and responsibilities also include:
- Trains other staff members to perform work activities, such as using computer applications.
- Answers telephones, directs calls, takes messages and runs errands.
- Prepares meeting agendas, attends meetings and records/transcribes minutes.
- Makes travel arrangements.
- Completes work schedules, manages calendars and arranges appointments.
- Opens and routes incoming mail, answers correspondence and prepares outgoing mail.
- Compiles, copies, sorts and files records of office activities, business transactions and other activities.
- Completes and mails bills, contracts, policies, invoices and checks.
- Operates office machines, such as photocopiers and scanners, facsimile machines, voice mail systems and personal computers.
- Types, formats, proofreads and edits correspondence, reports and other documents.
- Reviews files, records and other documents to obtain information to respond to requests.
- Computes, records and proofreads data and other information.
- Processes and prepares documents, such as business or government forms and expense reports.
- Maintains and updates filing, inventory, mailing and database systems.
- Communicates with customers, employees and others to answer questions; disseminates or explains information; takes orders and addresses complaints.
- Collects, counts and disburses money; performs basic bookkeeping; completes banking transactions.
- Troubleshoots problems involving office equipment.
Requirements
- Knowledge of basic payroll and personnel record keeping principles and practices.
- Knowledge of basic federal, state and local laws and regulations.
- Basic knowledge of labor relations and how to assist in a union environment.
- Proficiency using Microsoft Office Products (Word, Excel, PowerPoint, Outlook) and Human Resource Information Systems (HRIS).
- Solid organizational skills; ability to prioritize multiple tasks; attention to detail, strong follow-up skills.
- Strong communication and interpersonal skills, ability to communicate in a professional, knowledgeable, and courteous manner.
- Ability to adhere to highest standards of confidentiality and discretion in all proprietary business, financial and employee matters.
- Ability to work evenings, weekends and some holidays as required in an event-driven environment.
- Ability to be self-directed in a team-oriented environment.
- Must be able to work occasional weekends (dependent on event schedule).
