Responsibilities
- Provide general administrative assistant support to the Head of NA HR, including scheduling meetings, managing calendars, expense reporting, and handling correspondence.
- Cook up and coordinate team events and workshops.
- Maintain organized filing systems (digital and physical) for employee records and HR documentation.
- Aid with onboarding logistics and coordination.
- Maintain annual HR calendar for the People and Culture function.
- Own all regional HR communications for the region.
- Maintain all annual compliance and license to operate training documentation.
- Document Preparation: Draft, format, and proofread HR-related documents such as offer letters, policy updates, and internal communications.
- Prepare reports and presentations for HR leadership.
- Basic Project Work: Support HR initiatives and projects such as employee engagement programs, wellness campaigns, and process improvements.
- Track project milestones and deliverables.
- Exit Interviews: Schedule and conduct exit interviews. Compile feedback and identify trends to support retention strategies. Ensure proper offboarding documentation and procedures are followed.
- HR Program Administration: Assist employees with HR program plan inquiries and enrollment. Coordinate with benefits providers to manage retirement contributions and documentation. Maintain accurate records and ensure timely updates.
- Vendor SAP Setup and Management: Facilitate the onboarding of new HR vendors in SAP. Maintain vendor profiles and ensure compliance with procurement policies. Liaise with Finance and Procurement teams for vendor-related issues.
Qualifications
- Bachelor’s degree in Human Resources, Business Administration, or related field.
- 2 years of experience in an HR support or administrative role.
- Familiarity with SAP or similar ERP systems preferred.
- Strong organizational and communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to handle sensitive information with discretion.
