About the Role

The Coordinator for Housing Operations serves in a critical position responsible for the delivery of services in the residence halls, including desk operations, furniture and facility inspections, logistical planning and execution, emergency planning, hurricane response, emergency housing relocation, and collaboration with campus partners. This position is one of two Coordinators for Housing Operations who share these responsibilities. The Department of Housing and Residence Life at Tulane University provides housing, programming, and related services for approximately 5,000 students, generating $45 million in annual revenue.

This position is considered ESSENTIAL – Level 1, meaning you may be called upon to support Student Affairs response during emergent situations, including hurricanes and other weather incidents.

Responsibilities

Administrative

  • Oversees the desk service program, including hiring, supervision, training, and routine inspections.
  • Creates a systematic training and oversight program for desk operations during the academic year.
  • Assists in the development and implementation of residence hall desk policies and procedures related to maintenance, safety, and security.
  • Oversees the facilities assistant student program, including hiring, supervision, training, and routine inspections.
  • Creates, distributes, and continually updates the desk operations manual.
  • Works with Tulane Police Department, Campus Services, and Facilities to deliver desk operations exceeding national standards.
  • Inspects desk operations weekly.
  • Troubleshoots and responds to issues impacting desk operations and building security.
  • Participates in planning and execution for logistical events such as move-in, move-out, winter closing, and health and safety inspections.
  • Communicates issues with leased equipment vendors in a timely manner.

Facilities

  • Assists in the management and tracking of maintenance and upkeep of University residence halls and furnishings, including student/community notification of damage and billing.
  • Maintains accurate inventories of spare furniture.
  • Assists in the implementation of the daily and end-of-semester damage billing process to recuperate costs due to student damage.
  • Assists in the oversight of health and safety inspections, including communication with staff, spreadsheets, and data entry of damages, fines, and work orders.
  • Serves as a liaison with Facilities Services regarding issues impacting students living in housing.
  • Coordinates emergency housing moves, furniture removal, personal belongings removal, and other logistics as needed.
  • Assists in the coordination of break housing processes, including University breaks during the academic year and early arrivals for pre-season athletes, orientation, and first-year students.
  • Manages key inventory tracking and distribution systems for all residence hall keys.

Customer Service Operations

  • Performs consistent follow-up and communication regarding maintenance and custodial issues reported to the Housing and Residence Life office.
  • Assists in the development and implementation of policies and procedures related to maintenance, safety, and security.
  • Serves as part of the Housing and Residence Life crisis response team.
  • Responds to all customer (student, parent, faculty, staff, community) inquiries regarding housing operations and damage billing within a 24-hour time frame.
  • Works cooperatively with constituents to ensure timely and successful resolution of requests/issues.

Department and Divisional Support

  • Develops and maintains communications regarding important dates and events for residential students and their families, in collaboration with the Associate Director of Facilities.
  • Serves as a department liaison to facilities, custodial, police/security, dining services, and other auxiliary service areas.
  • Serves as a resource during student emergency and crisis situations, as well as department housing or facilities emergencies.
  • Assists in the management and delivery of departmental programs such as laundry service and micro-fridge.
  • Detail-oriented, student-focused, collaborative, and willing to work evening hours as appropriate to meet University-scheduled deadlines.

Other Duties

  • Exhibits a willingness to learn new tasks.
  • Seeks the assistance and guidance of a supervisor prior to beginning an unfamiliar assignment.

Requirements

  • Minimum Qualification: Bachelor’s Degree with 1 year of related operational experience OR High School Diploma (or Equivalent) with 7 years of related operational experience.
  • Preferred Qualification: Master’s Degree in Student Affairs or a related field.
  • 3 years of experience in a comprehensive housing and residence life program serving a comparable on-campus population to Tulane.
  • Outcomes-oriented planning.

  • Team player with a positive outlook dedicated toward constant improvement.
  • Previous supervision/oversight experience of student staff.
