Job Summary
The Housing Development Assistant provides general office support, including but not limited to performing clerical and administrative support to the Housing Development Department. Compiles and maintains records of business transactions and office activities.
Key Responsibilities
- Contribute to caring and positive working and living environments for all employees and residents.
- Maintain department electronic file systems, preparing, entering, copying, distributing, and filing a wide variety of electronic documents and records.
- Collect and compile proposals received from external vendors for housing development projects, including bid comparison preparation for Director review.
- Prepare, assemble, distribute, and file board packets or committee documents, reports, minutes, and correspondence.
- Route and monitor incoming mail/e‑mail; prepare outgoing mail/e‑mail including faxes.
- Support arranging project and department meetings and activities; may also prepare calendars, agendas, and meeting minutes.
- Assist with funding requests, development proposal packages, reports, event planning, and other data gathering and compiling.
- Travel to off‑site locations such as the city, assessor's office, title company for research, pickup and/or delivery of plans/documents.
- Regularly attend staff and safety meetings.
- Organize and maintain file system and files correspondence and other records.
- Conduct research as requested and compile and type statistical reports.
- Provide administrative assistance to the Director of Housing Development.
- Answer and screen the manager's telephone calls and arrange conference calls.
- Perform other duties as assigned.
Qualifications
- College degree or at least 2 years of relevant experience.
- Successful completion of a background check (required for employment).
- Driver's license not required; alternative transportation methods acceptable.
