Healthcare Scheduler PART TIME

About the role
We are seeking motivated and enthusiastic Health Schedulers to join our dynamic team. This remote position involves answering inbound calls, scheduling, rescheduling, and canceling patient appointments. You will answer patients' questions regarding basic medical procedures, provide instructions to ensure patients are prepared for examinations, and confirm appointments. Strong communication and customer service skills are essential. This role offers stability and opportunities for growth.
This is an unbenefited position requiring a hardwired internet connection. Training is six weeks long, Monday through Friday, 8 AM to 4:30 PM. After training, you will work 16-19 hours per week, including a mandatory 8-hour shift on Monday.
Responsibilities
- Schedule medical appointments by coordinating patients, providers, facility resources, ancillary staff, records, referrals, authorizations, and payers.
- Receive and initiate calls to/from patients, providers, provider offices, and facilities while following established scheduling procedures and protocols.
- Effectively schedule appointments, tests, and/or procedures using various electronic medical record/scheduling software systems.
- Identify alternative scheduling solutions when patient preferences are unavailable, ensuring patient safety and adherence to protocols.
- Obtain and document patient demographics, insurance information, and necessary documents for authorizations, referrals, or other data.
- Acquire and document pertinent patient medical information according to procedural guidelines.
- Provide patients with pre- and post-test instructions, appointment locations, and directions; answer questions within guidelines and refer to medical offices as needed.
- Set payment expectations and provide estimated payment details to ensure patients have "no surprises" at the point of service.
- Communicate and build relationships with patients, facilities, providers, and clinical colleagues through phone, chat, email, and electronic medical record messaging.
- Anticipate patient and provider needs and respond accordingly.
- Manage scanned documents and orders from physician offices in the document imaging software system, ensuring compliance with facility policies.
- Collect pre-payments and verify insurance coverage where applicable.
- Handle inbound and outbound customer and staff communications for all facilities in operating states.
- Work with various departments to provide accurate managed care information.
Requirements
- High school diploma/GED or equivalent working knowledge.
- Minimum of 1 year of customer service or related experience in a healthcare setting (e.g., medical office/clinic, hospital scheduling, lab, medical transcription, medical assistant, or receptionist).
- Ability to provide customer service in a high-paced inbound contact center environment.
- Proficiency in using technology tools to research and respond to customer inquiries via calls, emails, and instant messaging while maintaining a professional demeanor.
- Strong interpersonal, communication, and organizational skills.
- Ability to follow oral and written directions related to job functions.
- Ability to acquire and utilize knowledge of company customer information systems.
- Accurate and efficient keyboarding skills and proficiency with common office software.
- Effective teamwork skills and ability to meet deadlines and productivity standards.
Preferred Qualifications
- Experience in an inbound call center or as a scheduler in a practice management environment.
- Knowledge of payor contract terms and processes.
- Familiarity with medical terminology.
Pay
Estimated pay range: $19.06 - $28.60 per hour. Actual pay will be determined based on relevant work experience, education, certifications, skills, and geographic location, along with a review of current employees in similar roles to ensure pay equity.
