Guest Experience Coordinator
Juniper Preserve is a premier resort and residence club in Central Oregon seeking a full-time Guest Experience Coordinator to serve as an ambassador for the property.
About the role
As the first point of contact, you will deliver a warm, welcoming experience for resort guests, club members, and their visitors. You will provide detailed information about Juniper Preserve’s amenities, local attractions, and resort features while managing all front-desk operations, including check-ins, check-outs, billing inquiries, and guest follow-ups.
Responsibilities
- Demonstrate a guest-driven service style with an upbeat, friendly demeanor in all interactions.
- Greet and welcome all guests enthusiastically and professionally while maintaining their privacy.
- Handle guest concerns immediately, escalate to appropriate departments, and follow up within 30 minutes to ensure resolution and satisfaction.
- Communicate pertinent guest information to relevant departments.
- Maintain comprehensive knowledge of resort features, services, hours, room types, rates, promotions, and daily operations.
- Comply with all property and departmental policies, including grooming and uniform standards.
- Perform front-desk tasks: check-ins/check-outs, night audits, reservations, cancellations, billing inquiries, and room changes.
- Resolve room status discrepancies with Housekeeping and prepare key packets for arriving groups.
- Generate, distribute, and post daily reports; maintain guest history files.
- Operate Springer Miller Systems and CPU functions according to established procedures.
- Set up workstations, maintain cleanliness, and answer department telephones within three rings using proper etiquette.
- Embrace flexibility to adapt to new tasks, varied hours (including evenings, weekends, and holidays), and a growing company.
- Incorporate safe work practices and maintain a positive, organized approach to workflow.
Requirements
- High school diploma or equivalent; college/university qualifications or two years of related guest services experience.
- Valid Oregon driver’s license with no recent alcohol-related offenses or criminal record.
- Ability to pass a drug test and perform duties satisfactorily with reasonable accommodations for disabilities.
Skills
- Strong written and verbal communication skills for complex correspondence with guests and staff.
- Proficiency in phone conversations, basic cash handling, and accounting functions.
- Ability to calculate figures such as percentages and payments.
- Competence in Google Suite, Microsoft Word, Excel, and Outlook.
- Multi-tasking ability to handle variables and provide solutions effectively.
- Capacity to comprehend complex instructions and equipment manuals.
Schedule
Full-time, Wednesday through Sunday, 11:30 AM – 8:00 PM.
