About the role

The Graduate Admissions Coordinator supports graduate and professional admissions operations for all Indiana University (IU) Indianapolis Graduate (master's, doctoral, and certificate) and non-degree programs. Working collaboratively with academic units, Indianapolis campus, and other IU campus partners, the coordinator manages admission processing activities utilizing enterprise application and student information systems, supports workflow implementation and continuous process improvement, and helps ensure timely and accurate progression of applications through the admissions lifecycle.

Department-Specific Responsibilities

  • Coordinates complex admissions processing workflows, ensuring compliance with Graduate School academic standards and institutional policies, and supporting efficient student-centered admissions operational aligned with graduate enrollment management best practices.
  • Verifies eligibility and academic requirements. Processes admissions and matriculation actions. Supports graduate non-degree and intercampus transfer processes.
  • Maintains data quality and compliance standards. Assists with training and communication related to admissions policies, procedures, and systems.
  • Contributes to operational effectiveness and strategic graduate enrollment goals by promoting consistent admissions practices, maintaining accurate student records, and supporting an accessible and responsive applicant experience.

General Responsibilities

  • Reviews prospective students' application materials and applies appropriate criteria to determine if they are suitable for admission action; enters information into the appropriate database.
  • Completes route sheets with an overview of candidate's background; checks student's eligibility for degree; profiles institutions candidate has attended.
  • Calculates candidate's grade point average, explains foreign institution's grading scale; evaluates on candidate's English ability, standardized test scores, and produces transfer credit reports for students ensuring that work done on other campuses appears on IU transcript.
  • Forwards information and recommendations to appropriate department and notifies candidate as to status of their application.
  • Affirms and ensures that programs where IU students are studying are accredited; notifies students of program status.
  • Trains and oversees international and/or domestic staff; serves as resource on questions regarding policy and procedures.
  • Maintains and updates databases on foreign institutions ensuring that information used to evaluate applications is accurate.
  • Responds to phone inquiries for information on process or status of application and assists international and/or domestic students in completing application process. May provide guidance to other admissions credentials representatives.

Education and Experience

  • Required: High school diploma or equivalent (such as HSED or GED).
  • Required: 2 years of office or related experience.

Work Environment

This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The person in this role must be able to perform the essential functions with or without an accommodation.

Hybrid Schedule

This position is eligible for a hybrid schedule (mix between remote and in-person work), subject to change in the future based on university policy and business needs.

Compensation

$40,000.00 - 43,000.00 per year
