Position Summary

The incumbent will coordinate human resources, faculty affairs, and payroll functions within the Medicine Pod. They will support these areas and assist with special projects. Weekly updates and attendance at meetings with the HR/FA team are required.

Responsibilities

  • Weekly updates and attendance at meetings with the HR/FA team and/or Department Administrator or his/her designee to review the status of HR/FA transactions.
  • Provide vacation and time-off back-up coverage for departments (may provide short-term or extended coverage assignments).
  • Recruitment: Assist with recruitment by posting positions on Columbia's job sites and external advertising sources, scheduling meetings, managing the I-9 process, and conducting background checks.
  • Onboarding: Responsible for onboarding staff, faculty, and researchers and students, including scheduling welcome programs, medical surveillance, and UNI creation.
  • Payroll and PeopleSoft: Process payroll using TLAM, manage time-off tracking, and process employment-related changes in Talent Link and PeopleSoft.
  • Payroll and PeopleSoft: Liaise with internal and external constituents to resolve issues and ensure timely processing of new-hire/appointment, reappointment, termination, and other related transactions.
  • Compliance and Immigration: Handle immigration needs for faculty and staff, including sponsorship for visas and preparing documentation for accompanying family members. Maintain communication with ISSO and track compliance with various programs.
  • Systems and Project Work: Use HR Ticketing System to manage requests and maintain employee records. Upload employee forms and documents into Visual Vault.

Qualifications

  • Bachelor's degree or equivalent required plus a minimum of 3 years of relevant experience.
  • Resourceful, organized, detail-oriented, and able to establish priorities and follow up on multiple issues in a time-sensitive manner.
  • Skilled at working under pressure and with minimal supervision, and able to exercise a high degree of professionalism, diplomacy, discretion, firmness, and collaboration.
  • Strong analytical and problem-solving skills necessary.
  • Excellent computer skills including thorough knowledge of Microsoft Office, including advanced spreadsheet skills.
  • Bachelor's degree in Human Resources or a related field preferred.
