About the Role
Performs varied and responsible office and secretarial work for an administrator and staff at the department level. This class consists of positions serving as principal office support for administrators at the department level or equivalent. The role involves accounts maintenance including purchase orders, invoices, and fiscal reports, as well as monitoring fiscal activities. Handles non-routine matters requiring research, investigation, or analysis, and knowledge of departmental issues. Exercises considerable initiative by anticipating requirements for information, assembling data for reports, and tracking events to keep administrators informed.
Work involves frequent contact with high officials within MCPS and other organizations, requiring judgment in arranging meetings and communication. Ensures office support is available on a timely basis, supplies are stocked, and equipment is maintained. Requires understanding of system-wide, departmental, and divisional organization, as well as applicable Board policies. Skilled operation of word processors and computers is required, and some positions may require taking and transcribing oral dictation.
Responsibilities
- Serve as principal administrative support for Resolution & Compliance department-level administrators and staff within MCPS.
- Manage day-to-day office operations, including handling complex correspondence and coordinating high-level schedules.
- Maintain fiscal and budget records, including purchase orders, invoices, and fiscal reports.
- Address non-routine matters requiring research, discretion, and a deep understanding of MCPS policies.
- Keep complex records, assemble and organize data, and prepare reports.
- Compose memoranda and letters from general instructions; take rapid and accurate dictation if required.
- Handle confidential and controversial matters with judgment and tact.
- Operate word processing equipment and complete complex tasks proficiently.
- Use FMS components, accounts maintenance, and procurement procedures.
- Demonstrate good oral and written communication and human relations skills.
- Meet the seven core competencies of the Supporting Services Professional Growth System (SSPGS).
Requirements
- High School or GED diploma required; Associate’s degree preferred.
- Minimum two years of progressively responsible experience in the secretarial field, preferably with accounts maintenance and fiscal work, including experience with Montgomery County Public Schools.
- Considerable knowledge of business English, spelling, vocabulary, and arithmetic.
- Considerable knowledge of modern office practices, procedures, and equipment.
- Considerable knowledge of the organization and functions of MCPS major units.
- Working knowledge of FMS components, accounts maintenance, and procurement procedures.
- Proficiency in operating desktop computers and word processing equipment.
- Ability to handle confidential matters with discretion and tact.
Skills

Pay
The wage range for this position is between $26.23 and $38.51 per hour, based on years of service.
