About the role

The Front Office Receptionist will be responsible for accurate and timely patient registration utilizing medical systems. This individual will verify appropriate patient insurance coverage using facility medical necessity tools, following established policies and procedures. The role provides exceptional customer service to physicians, patients, family members, and all other medical professionals.

Responsibilities

  • Welcomes patients and visitors by greeting them in person or on the telephone, answering or referring inquiries
  • Notes patient arrival in Practice Management System (EMR)
  • Identifies patients by date of birth and name in the computer system and creates new accounts if needed
  • Prepares necessary patient paperwork prior to appointments
  • Calls "No Show" appointments to reschedule, makes appropriate notations in Practice Management System, and sends letters to patients when necessary
  • Schedules appointments in person or by telephone to optimize patient satisfaction, provider time, and treatment room utilization
  • Assists in emergency situations by responding quickly to patients in distress using good reasoning and judgment
  • Reviews Practice Management System (EMR) for information that needs updating and works with patients to obtain updated information
  • Identifies payer sources, verifies insurance eligibility, financial status, and assigns correct payor type
  • Verifies if prior authorization from insurance is required and notifies the Billing Department if needed
  • Maintains a clean and organized reception area
  • Obtains revenue by recording and updating financial information, collecting patient copays and/or balances at check-in/out
  • Protects patients' rights by maintaining confidentiality of personal and financial information
  • Maintains operations by following policies and procedures and reports changes as needed
  • Contributes to team effort by accomplishing related tasks as needed
  • Demonstrates superior customer service skills and communicates courteously with patients, visitors, providers, and team members
  • May participate in supporting the clinic's social media presence, including gathering content, sharing clinic-approved updates, and assisting with community engagement efforts

Requirements

  • High School Diploma required; Associate Degree preferred
  • 1 year of customer service experience in a healthcare office preferred
