Full-time, non-exempt position reporting to the Director of Innovation, Technology, and Operations.

About the Role

San Francisco Day School seeks a warm, welcoming, calm, mature, and professional Front Office Receptionist. This critical forward-facing role focuses on front office operations and communications, student attendance, and serves as the bridge between administration, faculty, and families.

Responsibilities

  • Answer or redirect all general questions (in-person, phone, email) from multiple stakeholders in the school community.
  • Manage the Schoolpass@sfday.org email, respond to family questions, and troubleshoot issues.
  • Support new families with SchoolPass onboarding as needed.
  • Provide admissions reception support.
  • Collaborate on parent/teacher conferences, including bridging meeting links, sign-ups, and coordination.
  • Ensure daily attendance is recorded in SchoolPass for all employees and students.
  • Remind employees to take attendance by 9:00 AM and contact parents for unexcused absences daily.
  • Communicate dismissals after the SchoolPass cutoff time.
  • Keep teachers and security informed of student daily comings and goings via phone calls and Gchat.
  • Update and maintain faculty and staff lists of room phone numbers and offices in partnership with the Director of Facilities and Director of Innovation, Technology, and Operations.
  • Create and maintain updated "Front Office" Norms and share with anyone covering the front desk.
  • Document phone calls made by students from the front office.
  • Sort physical mail into mailboxes using the Verkada system.
  • Support the school photos process from start to completion with the PGA, including managing vendors, ensuring students are well-represented, and creating schedules in coordination with Divisional Leaders.
  • Organize and manage materials for the start of school (e.g., placards).
  • Cover and support the health office and other administrative staff as needed.
  • Recognize employee life moments or milestones as the Sunshine Committee lead, including managing the budget.
  • Keep the front office clean and professional.
  • Support graduation preparation, including robes, photographers, stolls, etc.
  • Participate in operational check-in meetings as necessary.
  • Provide flexible general administrative support to meet ongoing needs.
  • Promote positive relationships among all internal and external constituents by maintaining professionalism and acting in a manner consistent with the School’s Mission and Values.
  • Collaborate with colleagues to advance grade-level, departmental, and school-wide goals.
  • Support everyday community needs, including student-facing responsibilities such as safety drills and recess/lunch duties.
  • Commit to ongoing professional development and growth.
  • Serve as an active participant in the school’s commitment to Diversity, Equity, and Inclusion.
  • Attend all-school professional development seminars, participate in all-school reads, and model the school’s mission in DEI work.
  • Provide advance notice for planned and approved days off and record leave in the appropriate HR platform.
  • Attend evening and weekend events as required.

Requirements

  • Must be comfortable around children and have a warm, welcoming, and professional presence.
  • Undergraduate degree.
  • Clear and tactful communication skills.
  • Strong ability to multitask between small and large projects.
  • Excellent organizational skills.
  • Proficient in Google Suite and Microsoft Suite.

Physical Requirements

  • 90% indoors, 10% outdoors.
  • Prolonged periods of sitting at a desk, working on a computer, or standing and crouching.
  • Ability to traverse campus and adjust tone and height by bending or leaning to communicate with each child.
  • Occasional requirement to lift more than 25 lbs.

Pay

$28.00 - $38.00 an hour, depending on experience.

Schedule

8:00 AM to 4:00 PM, Monday through Friday, with occasional evenings and weekends.
