Front Office Receptionist

Responsibilities

  • Greet patients and visitors in a professional, welcoming, and solutions-focused manner
  • Answer incoming calls promptly and professionally in both English and Spanish
  • Schedule and confirm appointments while ensuring patients leave with all future appointments arranged
  • Verify patient demographics, insurance information, authorizations, and required documentation
  • Aid with patient intake, registration, and collection of necessary paperwork
  • Cook up incoming and outgoing referrals with providers, imaging centers, specialists, attorneys, and payers
  • Aid with case management responsibilities by tracking pending referrals, authorizations, follow-ups, and gaps in care
  • Communicate with patients regarding appointment reminders, referral updates, and care coordination needs
  • Maintain accurate documentation within the electronic medical record system
  • Identify and escalate patient concerns, operational issues, or scheduling barriers proactively
  • Aid with obtaining medical records, imaging reports, and supporting documentation
  • Support front office operations including scanning, faxing, emailing, chart preparation, and administrative tasks
  • Help maintain a clean, organized, and professional front office environment
  • Deliver exceptional customer service while creating a positive patient experience at every interaction
  • Aid leadership and clinical teams with operational support as needed

Qualifications

  • Fluent in both English and Spanish (required)
  • Previous medical front office, healthcare administration, or customer service experience preferred
  • Experience with personal injury, workers’ compensation, referrals, or case management is a plus
  • Strong communication and interpersonal skills
  • Ability to multitask and work in a fast-paced clinical environment
  • Strong organizational skills and attention to detail
  • Solutions-focused mindset with strong critical thinking abilities
  • Comfortable working with electronic medical record systems and multiple software platforms
  • Reliable, professional, and team-oriented attitude
