Front Office Receptionist
Responsibilities
- Coordinate visitor meetings, parking arrangements, and conference room setup.
- Support the Office Manager with ordering food, supplies, and other materials as needed.
- Ensure compliance with site security protocols by managing visitor registration, badging requirements, and escort coordination, including ITAR checks.
- Greet and assist visitors upon arrival, connect them with the appropriate host, and facilitate introductions to their designated site contact.
- Manage office supply inventory, including distributing supplies, monitoring usage levels, submitting purchase requisitions, and coordinating ordering, receiving, and stocking with the Office Manager.
- Process incoming mail and deliveries by receiving, sorting, forwarding, and routing publications appropriately.
- Foster positive and professional relationships with suppliers, coworkers, and guests to promote courtesy, objectivity, and a professional image.
- Support facilities and administrative team initiatives by completing related tasks and assisting the Office Manager as requested.
- Maintain a safe, secure, and legal work environment, adhering to all company policies and procedures.
- Protect the confidentiality of the company’s information and products.
Requirements
- 1-2 years of front desk or administrative support experience.
- Proficiency in Microsoft Office.
- Strong customer service skills to serve as a good face for the company.
- Excellent written and verbal communication skills.
Additional Skills & Qualifications
- ITAR compliance is required due to the aerospace facility.
- A friendly and presentable personality as the first face visitors see.
- Proactive in finding tasks during downtime.
Work Environment
- This position is 100% onsite with a flexible start time between 7-8 AM; the earliest departure is 4 PM.
- The role is based at an ITAR facility where the receptionist will primarily be stationed at the distribution site, with occasional walks to a nearby site.
- Visitor volume varies, with downtime available for ad-hoc administrative tasks.
- The work environment requires independence and a proactive attitude, as there is limited visitor interaction on some days.
About the Role
The Receptionist provides administrative support and serves as the first point of contact for visitors. This role is responsible for greeting guests, maintaining office supply inventory, and coordinating with facility vendors to ensure smooth day-to-day operations.
Pay and Benefits
The pay range for this position is $21.00 - $25.00/hr.
