About the role
Greet patients as the first point of contact of the patient experience.
Responsibilities
- Check-in all patients for Urology Austin obtaining accurate and up-to-date demographic and insurance information at each patient visit
- Verify the scanned card images are current
- Work with the billing office as needed to ensure proper entry of patient insurance information
- Assist with insurance verification of new patients and established patients with new insurance
- Identify and collect all patient portion (i.e., co-payment, co-ins., deductible, etc..) from all patients, as required
- Assist with telephone calls as needed both in-bound and outbound
- Maintain an accurate cash box, including end-of-day balancing
- End of day, print out your end of day collections from PM system to verify all cash, checks, and credit card receipts are in balance with your drawer
- If these totals do not match, you will need to reconcile before turning in the batch for the day
- Complete nightly reconciliation report and place all checks, cash and credit card receipts collected throughout the day in secured office lockbox
- Assist patient with completion of various medical documents both paper and electronic forms, as needed
- Keep the waiting area clean and neat at all times, straightening chairs, keeping magazines neat and current, turn on and off TV's, any lights, etc.
- Keep front desk check-in/check-out desk clean and neat at all times
- Conducts patient assessments and obtains pertinent medical information for referral to the physician and/or clinical care team
- Schedule all future appointments the provider(s) ordered for patient at time of check-out
- If patient has paper orders, collect, and scan the orders into the EMR prior to patient's departure:
- Completed by using personal desktop scanner or
- Completed by reviewing and emptying your scans folder daily
- If provider has documented on the encounter form the requirement for order(s) or referral(s) to be given to patient:
- Complete the request on the appropriate form(s)
- Scan the document(s) into the EMR
- Provide signed order(s) or referral(s) to patient
- All internal communication needs to be reviewed and responded daily
- Next day visits need to be properly prepped for all non-clinical items prior to the end of the day
- Perform other related duties as assigned
Qualifications
- High school diploma or GED (required)
- Associates or Bachelor's Degree (preferred)
- Two-three years of medical office experience
- Previous experience of a fast-paced, high patient volume doctors office
Skills
- Self-starter with the ability to complete daily tasks with minimal supervision
- Skill in communicating effectively with patients or providers about scheduling preferences
- Ability to multitask effectively, dealing with phone calls, in-office patients, staff, and others in a pleasant manner along with multiple tasks/projects
- Ability to analyze situations and respond appropriately
- Ability to use a multi-line phone system, including transferring calls
- Ability to speak clearly and concisely to be heard by callers and patients
- Excellent organizational and time management skills
- Superior interpersonal and problem-solving skills to ensure coordinated efforts and patient satisfaction
- Always maintain a professional and positive attitude
- Common computer skills
- Demonstrate teamwork and support for fellow care team members; can be flexible when necessary
