Major Duties and Responsibilities

  • Actively and consistently support all efforts to simplify and enhance customer experience.
  • Support the Corporate Fleet and Travel service account emails.
  • Process vehicle transactions including titles, vehicle transfers, employee vehicle sales, and vehicle disposals.
  • Track all vehicle disposal proceeds and report detailed payment information to accounting department.
  • Perform analysis of vehicle disposal proceeds to compare the vehicle remarketing to company’s performance.
  • Perform periodic vehicle inventory audit, and maintain accuracy of vehicle location, billing information, as well as local fleet administrator contacts.
  • Provide monthly reports on inventory, scorecard reporting, and disposal proceeds.
  • Support the Business Unit fleet personnel with vehicle information, vendor information, cost analysis for budgets, and any information needed for fleet.
  • Troubleshoot service issues associated with fuel cards and fuel PINs.
  • Function as the corporate liaison with the fleet maintenance, fuel management companies, and travel management companies.
  • Partner with Charter’s fuel card vendor to audit and resolve any transactional exceptions.
  • Handle and process the department’s physical mail.
  • Update and maintain SharePoint information.
  • Provide guidance and communicate policies & procedures to external and internal customers.
  • Collaborate with key stakeholders across different departments to call out, and correct issues as they arise.
  • Respond to correspondence (phone, email, etc.) with a high degree of accuracy, timeliness, and respect.
  • Assist in invoice and expense reconciliation for the Travel department.
  • Work with data analysts to identify and resolve any automated workflow exceptions.
  • Identify inconsistencies and inaccuracies to aid in data validation and ensure accurate results.

Qualifications

  • Bachelor's degree in Business Administration, Finance, or related field.
  • Minimum of 2 years of experience in a similar administrative or support role.
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite, particularly Excel and PowerPoint.
  • Experience with SharePoint and basic knowledge of SQL or similar database systems is a plus.
