About the role

The Fleet Manager oversees, maintains, and complies with the organization's vehicle fleet, ensuring all vehicles meet regulatory standards and are operated safely.

Responsibilities

  • Manage all needed maintenance and repair to ACC vehicles, including scheduling, vehicle delivery and pick up, fee negotiation and payment, and confirming completion of work.
  • Create, update, and maintain policies and standard operating procedures for use of ACC vehicles.
  • Create and perform quality assurance practices for all drivers of ACC vehicles, including tracking driver compliance, motor vehicle infractions and vehicle safety logs.
  • Maintain vehicle registrations and inspections, gas cards, EZ passes, and vehicle placards.
  • Conduct regular vehicle inspections to ensure cleanliness and operational readiness.
  • Manage process of procuring insurance and identifying actions to reduce premiums.
  • Identify organizational fleet needs, driver to vehicle ratios and daily use to inform fleet expansion, including assisting in the procurement of new vehicles.
  • Reconcile gas and EZ pass expenses to driver’s routes.
  • Monitor vehicle status in real time using on-board technology as needed.
  • Coordinate with HR and General Counsel to investigate and document incidents involving vehicle issues, claims against ACC involving auto incidents, and providing documentation as needed to support any payments related to claims, including fines, tickets, deductibles or personal injury.
  • Ensure all fleet activities comply with federal, state, and local transportation regulations, including NYS Companion Animal Standards Act section: §431 Transportation Standards.
  • Respond to emergencies involving breakdowns, accidents or transport disruptions.

Requirements

  • 3-5+ years of experience managing a fleet or transportation operation, or equivalent logistics experience required.
  • Valid driver’s license with clean record.
  • Able to troubleshoot basic vehicle performance issues.
  • Expert communicator, people person and a team player.
  • Must be able to lift a minimum of 50 lbs. and enter/exit vehicles frequently.

Preferred Qualifications

  • Preference given to applicants holding certifications such as Certified Automotive Fleet Specialist (CAFS) or Certified Automotive Fleet Manager (CAFM).
  • Demonstrated knowledge of vehicle maintenance, compliance requirements and safety protocols.
  • Proficiency with fleet management software, Samsara familiarity preferred.
  • Ability to respond to emergencies outside of normal business hours when needed.
  • Prior experience in animal welfare, municipal sheltering, rescue, EMS or related public-service fleet management is a plus.
