Fleet Administrator
Fish Brothers is a multi-franchise car dealer group based in Swindon with over 75 years of experience in the motoring industry. Due to high levels of fleet activity at our newly opened Fleet Hub at Westmead Industrial Estate, we are looking for a Fleet Administrator to join the team.
About the role
You’ll be an integral member of the fleet department, ensuring all fleet orders are checked with precision and providing effective assistance from point of enquiry to delivery. You will work across a number of innovative car manufacturers and liaise confidently with customers by phone throughout the order process.
After vehicle arrival, you will ensure they are processed through preparation stages, meeting all lease company requirements and maintaining SLAs with partners. Responsibilities include ordering fleet packs, maintaining supplier agreements, coordinating delivery agents, and preparing handover checks and documentation. You will also maintain Fleet CRM systems and assist with data entry.
This role requires strong time management, the ability to prioritize proactively, and excellent coordination and multitasking skills to maintain high levels of customer service for both end customers and lease companies.
Responsibilities
- Check and process fleet orders with precision from enquiry to delivery.
- Liaise with customers by phone prior to, during, and after the order process.
- Ensure vehicles are processed through preparation stages efficiently and meet lease company requirements.
- Order fleet packs from suppliers and maintain supplier agreements.
- Coordinate with the Fleet Logistics team, Senior Fleet Administrator, and Fleet Sales Manager to book delivery agents and prepare handover checks and documentation.
- Maintain Fleet CRM systems and assist with data entry.
- Manage workload proactively to meet deadlines and maintain service level agreements (SLAs).
Requirements
- Eligibility to work in the UK.
- A full UK driving licence with fewer than 7 points.
- Flexibility to work hours required for the role and travel to training sessions.
Qualifications
- Experience working within an administration or sales support function.
- Customer handling experience with a customer-first approach.
- Previous automotive experience is preferable but not essential.
- Good level of general education (at least GCSE English and Maths; A-Levels or equivalent qualification is ideal).
Skills
- Analytical and numerical skills.
- Strong attention to detail.
- Ability to build and maintain effective relationships internally and externally.
- Confidence in communicating with contacts at all levels.
- Ability to work unsupervised and as part of a team.
- Strong IT skills, including proficiency in Excel and other platforms.
- Fleet knowledge is desirable, but the ability to learn quickly is essential.
Pay
£26,510 to £30,000 per annum, depending on experience.
Schedule
Monday to Friday, 40 hours per week.
