Faculty Success Coordinator
Salary
The annual salary for this position ranges from $52,200 to $63,000. The final offer will be commensurate with the candidate’s relevant experience and qualifications.
Purpose of Position
This position provides administrative, operational, programmatic, and communications support for the Division of Faculty Success (DFS) and the Center for Teaching and Learning Excellence (CRTLE). This role manages divisional communications and websites, faculty awards processes, and planning for campus-wide faculty events and leadership programs, as well as data tracking, budget and personnel processes, compliance, travel, supervision of student workers and faculty fellows, and daily office operations.
Essential Functions
- Collaborate with the Assistant Vice Provost for Faculty Success on faculty awards processes at the university, system, and state levels, including ordering the trophies/plaques/certificates for the awards and organizing the spreadsheets of awards, correspondence, training sessions, and faculty dossiers.
- Lead divisional communication efforts by maintaining the website, producing relevant content, and drafting the faculty newsletters.
- Cook up events sponsored by the Division of Faculty Success, including event venues, catering, supplies, décor, technology, and calendar and RSVP management for special projects and events. Coordinate and execute all details, including room tech testing, setup, and takedown, for campus-wide events, including Fall and Spring Faculty & Associates meetings, New Faculty Orientations, Leadership Academy, and other DFS activities.
- Aid the DFS team with multiple concurrent initiatives, project coordination, and deadline management in completing compliance checks and other projects.
- Supports the DFS team in supervising the faculty fellows by gathering and organizing information, tracking data, and producing reports in response to special requests.
- Maintain the Assistant Vice Provost's calendar, coordinating meetings and training. Manage daily tasks in the office and occasionally serve as back-up administrative support for CRTLE.
- Manage ProCard charges and reconcile ProCard transactions in their own ProCard. Process travel for the Assistant Vice Provost and the Director of Faculty Management Systems.
- Perform other duties as assigned.
Required Qualifications
- Bachelor’s degree and two (2) years of special program coordination and/or administrative assistant experience, OR six (6) years of an equivalent combination of education and experience.
Preferred Qualifications
- Master’s degree and three (3) years of experience working in a higher education institution or equivalent experience.
- Supervisory experience and experience in managing the hiring process.
- Experience with the University of Texas systems, including UTShare.
- Experience with Microsoft Word, Excel, and other common systems.
Knowledge, Skills & Abilities
- Proficiency in Microsoft Outlook, Word, Excel, and PowerPoint.
- Ability to handle multiple tasks in a busy office with a professional demeanor.
- Ability to plan and coordinate events, manage communications and web content, deliver presentations, monitor expenditures, work independently, prioritize tasks, and supervise others.
Work Schedule
Monday through Friday; 8:00am through 5:00pm
Occasional early morning and late evenings as needed
Occasional travel may be required
Hybrid work environment (remote & in-office)
